Track and follow up on action items, ensuring timely completion.</li><li>Ability to process SOWs, contracts, and invoicing &amp; assist with budget tracking, expense reporting, and invoice processing.</li><li>Supports on-boarding &amp; off-boarding of department team members.</li><li>Liaise issues to proper resolution support teams related to technology equipment, software applications, facilities, etc.; Independently researches complex issues and escalates urgent issues to proper management teams or individuals for expedited resolution.</li><li>Maintains professional and technical knowledge (including AI, ChatGPT etc…) by remaining current with BMS continuous learning modules &amp; support team members in the adoption of AI tools and best practices.</li><li>Proactively identify opportunities to improve processes and enhance administrative efficiency, including the use of AI-powered solutions for scheduling, document management, data analysis, and workflow automation.</li><li>Lead or support special projects and initiatives as assigned</li></ul>Calendar Management:<ul><li>Manage complex calendars (within appropriate timelines across applicable time zones), coordinate global travel, and organize high-level meetings.</li></ul><ul><li>Proactively looks ahead at schedules, events, and needs of manager/team, anticipates conflicts, problems and issues, and takes appropriate steps to produce desired outcomes.</li></ul>Communication Management:<ul><li>Interface in a professional manner with senior executives and laisse across matrix teams (Medical, Commercial, R&amp;D, HR, Legal, etc.) and external partners.</li><li>Maintain team and subject focused distribution lists; distribute or cascade messages on behalf of the team.</li><li>Collaborate and partner with all executive associates across the matrix to ensure business needs and goals are met. </li><li>Handles confidential information with discretion and demonstrate diplomacy and excellent judgment in dealing with sensitive situations.</li></ul>Qualifications &amp; Experience<ul><li>High School Degree, some college or degree desirable.</li><li>8+ years administrative or comparable experience. Prior Executive Associate experience preferred.</li><li>Proficient with Microsoft Suite (Outlook, Word, Excel, Power Point). Knowledge of BMS Systems and Processes strongly preferred.</li><li>Must be highly proficient in various systems (Concur Travel &amp; T&amp;E, ARIBA, SAP, eSetup, Conf Room Scheduling, WorkDay, and Sharepoint etc…)</li><li>Highly motivated, independent thinker with proven problem solving and analytical skills. Ability to utilize AI technology effectively to support strategic initiatives and/or processes</li><li>Detail oriented with excellent oral and written communication skills.
