The Office of the Vice President (OVP) in Alumni Affairs and Development oversees all aspects of central Alumni Affairs &amp; Development. It also has a dotted-line relationship with the alumni affairs and development teams in each of Harvard’s Schools. 
Position Description: The position reports to the Chief of Staff in the Office of the Vice President (CoS) and supports the work of the Vice President for Alumni Affairs &amp; Development (VPAAD) and other members of the OVP team.<ul><li>Owns responsibility for managing the calendars for the VPAAD and the CoS. This work includes but is not limited to scheduling complex group meetings and individual appointments with both internal partners and external constituents; proactively managing conflicts as they arise; anticipating needs of VPAAD and proactively coordinating with CoS and fellow colleagues to adjust/arrange their schedule to maximize the VPAAD’s time and focus; and regularly communicating updates to the principles in a timely and sensitive manner.</li><li>Creates and manages the VP’s daily briefing folders by acquiring pre-reading materials, agendas, meeting and event briefings, background history and context, and notes for the week’s meetings. Proactively anticipates materials needed and reaches out to managers of upcoming meetings to ensure that materials are provided in advance. Prints items for VPAAD as needed.</li><li>Reconciles expenses for the OVP members, including all Concur expense reports.</li><li>Books travel for the VPAAD and CoS and creates and manages detailed and sometimes complex travel itineraries and materials.</li><li>Create presentation materials for the VPAAD.</li><li>Develops routine briefings for VPAAD meetings with alumni and donors. Identifies opportunities for enhanced team organization, processes, and best practices to increase efficiency.</li><li>Serves as project manager on some OVP-led efforts including, but not limited to annual CoFD and ET retreats, VPAAD presentations/remarks to University leadership, and others.</li><li>Develops and maintains tracking tools used by OVP team to enable efficient communication among the Chief of Staff, Executive Coordinator, and Assistant Director about near-, mid-, and long-term prospect and key alumni action items. Develops and maintains best practices and process documents related to OVP tasks, including but not limited to resource filing and organization, expense reporting, scheduling, and travel planning.</li><li>Ensures the VP is aware of staff milestones for appropriate recognition, including drafting and facilitating emails to new staff and staff promoted to new positions.</li><li>Occasionally drafts routine follow-up correspondence on behalf of the VPAAD to internal and external audiences.</li><li>Required to work at AA&amp;D’s office in Cambridge for a minimum of three days per week.</li></ul> Qualifications Basic Qualifications:<ul><li>Must have a minimum of 4 years of related or transferable experience. Collaborates with the MEDscience team to deliver schoolyear and summer programming. Instructs students in medical skills, terminology, and scientific literacy (training provided).</li><li>Program Coordination: Coordinates the programming for at least 20 partnering high school classroom teachers for the fall and spring semester courses: discuss logistics, individualize program curriculum calendar, provide program materials, monitor completion of required paperwork &amp; surveys.&nbsp; Coordinates within the MEDscience teaching team: establish roles for each session, responsible for the set-up and breakdown of session materials. Provides support and training as needed to partnering high school teachers, interns, and volunteers on the MEDscience curriculum and pedagogy. Supervise student survey administration ensuring 100% rate of completion.</li><li>Teacher Training:&nbsp;Trains newly hired teachers and volunteers on the curriculum, meeting ahead of class sessions to run training and observing classes to provide feedback.</li><li>Curriculum Development:&nbsp;Assists in refining written materials for pedagogy evaluation, and other documents needed for program expansion. The Director of Facilities Planning and Management is responsible for the overall operation of the Facilities department in support of the mission of the Harvard Art Museums and Harvard University. The Harvard Art Museums include a portfolio of multiple sites, three of which are Harvard-owned properties in Harvard Square, Cambridge, and the fourth a leased space in Somerville. The four spaces total an overall square footage of 325,000, the largest being the principal site at 32 Quincy Street, Cambridge, a LEED Gold certified building.Duties and Responsibilities:<ul><li>Directs operations relating to facilities management to the benefit of the mission and goals of the Harvard Art Museums. Ensures that all venues are well-maintained, safe, secure and efficiently managed.</li><li>Develops an in-depth knowledge of the facilities in the portfolio, particularly with respect to complex features including glass, lighting and shade systems, HVAC systems and interior and exterior materials.</li><li>Partnering with the Deputy Director, sets short- and long-range goals and priorities for facilities management. Provides proactive recommendations in long-range strategic planning for preventative maintenance and service, as well as future projects.</li><li>Both directly and with Facilities Managers, manages and deploys a workforce of approximately 20, including direct reports and 3rd party university and commercial vendors.</li><li>Develops and sustains close and critical working relationship with Safety &amp; Security and Visitor Services departments. Actively participates as a member of the Museums Management Team (MMT), Emergency Management Team (LEMT), Internal Operations Team.</li><li>Initiates and maintains effective communication with colleagues in other museum departments. Communicates and/or collaborates, as indicated, in planning, setting timelines, and monitoring impact on other operations.</li><li>Prepares and manages the Facilities Department budget, including capital projects budgets and operations and maintenance budget. Works closely with the Director of Finance and the Finance Department staff to set and monitor budgets, assess and implement the project and vendor bid processes, and generally operate within sound financial practices and in alignment with Harvard University procedures and policies.</li><li>Oversees the planning, budgeting, bidding, and approval processes, for all construction projects and environmental health and safety and sustainability initiatives. Oversees and participates in the selection of contractors; develops contracts in accordance with Harvard University and museums policies.</li><li>Collaborates with colleagues in the Director’s Office, Curatorial, Collections Management and other divisions and departments in the development of budgets for exhibitions.</li><li>Drives projects to successful completion. Monitors timetables and progress. Engages with staff and contractors to resolve problems and achieve goals.</li><li>Ensures that all facilities-related work is performed safely and in compliance with all applicable safety and environmental regulations.</li><li>Seeks opportunities to develop, improve, and implement protocols and work processes to ensure maximum productivity and efficient delivery of services.</li><li>Oversees capital projects; establishes and maintains 5-year capital projects system (CAPS).</li><li>Responsible for Museums’ participation in University-wide resiliency planning and energy reduction measures.</li><li>Develops University contacts and relationships and leverages resources accordingly; represents the Museums on University-wide committees and activities.</li></ul> 
Physical Requirements: Must be able to frequently walk up and down stairs, ladders, and scaffolding and be on your feet for extended periods of time. Able to push and pull, bend stoop, kneel. Must be able to lift in excess of 50 lbs. and assist others to do the same.

Working Conditions: This is an on-site position. There will be local travel between Harvard Art Museums facilities in Cambridge and Somerville, MA, and around the university campus. Some evening, early morning and weekend hours may be required. 
&nbsp; Qualifications Candidates MUST meet the following basic qualifications to be considered for this role:BA/BS or equivalent experience in facilities management; minimum of 10 years of facilities experience with progressive responsibility managing teams in multiple aspects of large and complex facilities and capital projects of $ 2- 5M.

Additional Qualifications and Skills:Knowledge of issues related to museum management highly desirable; experience with leading and managing long-range physical planning; experience managing departmental and project specific budgets; strong background and education in museum quality M.E.P. systems design and operations; experienced manager with a solid background in staff supervision and development; excellent communicator with the ability to diplomatically build consensus among various constituents with diverse interests and with a strong customer service focus; demonstrated experience in developing and maintaining constructive work relationships with colleagues; ability to work independently with minimal supervision. Experience with facilities with collections and a public-facing dimension preferred.
