Job Description:

The School of Law is seeking to fill two Administrative Assistant positions. While both roles share the same job description and qualifications, one position will provide administrative support to multiple Associate Deans, and the other will provide dedicated support to the Dean of the School of Law.

Candidates will be considered for both opportunities, with placement determined based on experience, skills, and organizational needs.

The Administrative Assistant, School of Law, provides high-level administrative and operational support for the administrative function and strategic initiatives of the School of Law. The Administrative Assistant serves as a key member of the School of Law administrative team and supports the effective functioning of leadership operations, institutional initiatives, governance activities, external relations, communications, and office administration. The Administrative Assistant operates with a high degree of professionalism, discretion, independent judgment, and organizational skill while collaborating closely with administrative colleagues across the office suite to ensure coordinated support and operational continuity. The Office of the Dean includes the Dean, and three Associate Deans.

Executive and Administration Support

Provide comprehensive administrative support for the School of Law.

Manage complex calendars, meetings, appointments, and scheduling priorities.

Coordinate travel arrangements, meeting logistics, and event planning.

Draft, edit, and format correspondence, reports, presentations, agendas, and other professional materials.

Research and prepare materials for meetings, presentations, and institutional initiatives.

Maintain organized office systems, files, and records while ensuring confidentiality and appropriate records management.

Serve as a liaison between the Dean's Office and faculty, staff, students, alumni, trustees, external partners, and visitors.

Strategic Initiatives, Leadership Support and External Relations

Provide administrative support for strategic initiatives, projects, and special programs within the School of Law.

Assist in coordinating communications, timelines, meetings, and materials related to strategic planning and institutional priorities.

Support leadership activities related to enrollment, development, alumni engagement, external relations, and institutional partnerships, as assigned.

Coordinate and support meetings and activities involving the School of Law Board of Directors and related committees.

Prepare meeting materials, agendas, minutes, and follow-up communications for governance-related activities.

Assist with external communications, stakeholder engagement, events, and relationship management. Prepare presentations, correspondence, briefing materials, and logistics as needed.

Communications and Office Operations

Support communications from the Dean's Office to internal and external constituents.

Maintain confidentiality regarding personnel matters, institutional communications, strategic initiatives, and other sensitive information.

Ensure assigned website and calendar information remains accurate and current.

Coordinate office operations to ensure responsiveness, professionalism, and continuity of service.

Collaborate with administrative colleagues to ensure coordinated office coverage and shared operational responsibilities across the office suite.

Event and Meeting Support

Assist with planning and execution of School of Law events, meetings, receptions, and leadership programs.

Coordinate logistics including scheduling, catering, registrations, communications, and event support.

Attend meetings and prepare meeting notes or minutes as assigned.





Job Requirements:

Associate's degree.

Minimum of five years of progressively responsible administrative experience, preferably in higher education, legal, nonprofit, or executive office environments.

Demonstrated ability to exercise discretion and maintain confidentiality.

Strong organizational, communication, and interpersonal skills.

Ability to manage multiple priorities and work independently in a fast-paced environment.

Proficiency with Microsoft Office applications, Outlook, and other office technology systems.

Experience supporting senior administrators, boards, committees, or institutional initiatives preferred.

Ability to establish and maintain effective working relationships with faculty, staff, students, administrators, trustees, and external constituents.

Preferred Qualifications

Bachelor's degree.

Experience in higher education, legal education, or professional services environments.

Experience supporting executive leadership or strategic initiatives.

Experience coordinating meetings, events, or governance activities.

Work Environment

The Administrative Assistant must be able to manage multiple concurrent responsibilities, maintain professionalism under pressure, and respond effectively to changing priorities and frequent interruptions. The position requires sound judgment, confidentiality, attention to detail, and collaborative engagement with a wide range of constituents.

At the University's discretion, the education and experience prerequisites may be accepted where the candidate can demonstrate, to the satisfaction of the University, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
