Job Description

This role is integral to the smooth functioning of the Institute, offering administrative and clerical assistance. The Coordinator handles correspondence, filing, and report preparation, and supports medical staff credentialing and onboarding. They also monitor compliance with health regulations and develop office procedures for efficient operations. With strong communication and organizational skills, the Coordinator ensures a professional and supportive environment, contributing to the overall success of the medical center.

Responsibilities

  • Provide administrative support to the Heart and Vascular Institute Program, ensuring efficient daily operations.
  • Produce correspondence, maintain organized files, and prepare reports and spreadsheets as needed.
  • Schedule meetings and appointments, manage telephone inquiries, and handle payroll and accounts payable tasks.
  • Order office supplies, provide billing information, and facilitate the credentialing process for medical staff.
  • Monitor and ensure compliance with employee health regulations, including vaccinations and testing.
  • Assist with the onboarding of new providers and staff, and support the performance evaluation process.
  • Develop and implement streamlined office procedures to enhance efficiency and accuracy.
  • Prepare materials for reports and presentations, and assist with functional planning and scheduling.
  • Support organizational goals by delivering exceptional customer service and actively participating in performance improvement initiatives.
  • Maintain a safe and organized work environment, adhering to all safety protocols and confidentiality standards.

Qualifications

  • Associate's degree is required, with a preference for a Bachelor's degree in a related field.
  • Minimum 3-5 years of administrative experience, ideally in a medical or healthcare setting.
  • Excellent communication, interpersonal, and organizational skills are essential for this role.
  • Proficiency in word processing, database management, and spreadsheet applications is a must.
  • Knowledge of medical terminology is highly advantageous, though not mandatory.
  • Ability to work independently, manage multiple tasks, and prioritize effectively.
  • Strong attention to detail, excellent time management, and a commitment to accuracy.
  • Professional and friendly demeanor, with the ability to interact effectively with staff and patients.
  • Proficiency in Microsoft Office Suite or equivalent software is required.
  • Understanding of HIPAA regulations and a commitment to maintaining patient confidentiality.
