Position Overview

Provide high-level administrative support to Accounting Leadership, including 4 Directors and their teams of over 100 accounting professionals. This role requires a dependable, disciplined self-starter who can manage multiple priorities while maintaining confidentiality. As a key contributor to the department’s overall success, this role collaborates closely with the administrative assistant to the VP of Accounting, fostering a supportive, efficient and people first environment.

Responsibilities

  • Manage calendars and schedule meetings for Accounting Directors and other managers as needed.
  • Organize quarterly and annual Budget and Business Review meetings with executives and department leaders.
  • Lead logistics and budget tracking for projects, events, and volunteer initiatives involving up to 200+ participants, in collaboration with other administrative and executive assistants.
  • Coordinate travel arrangements and prepare detailed itineraries; compile and submit expense reports for departmental purchasing cards and Accounting Directors.
  • Serve in a chairperson support role for the Accounting Development Subcommittee, managing event logistics, meeting agendas, minutes, action items and related project coordination.
  • Oversee logistics for annual review projects (e.g., process narratives, job descriptions); track expenses for departmental initiatives and assist with presentation development on an as needed basis.
  • Validate the monthly population of journal entry and accounts payable batches scanned is accurate for documentation, compliance and retention purposes.
  • Support office space projects including remodeling, decorating, and organization; manage office supplies, coordinate equipment maintenance, and assist in a back-up capacity with mail distribution on an as needed basis.
  • Foster positive working relationships across departments throughout the Support Center.
  • Assist with other assignments as needed while maintaining sensitivity to confidential matters.

Qualifications

  • Education: Associates Degree preferred, experience may substitute for education
  • Experience: 2 years administrative/coordination experience
  • Computer skills: Intermediate to advance knowledge of Outlook, Teams, Word, Excel, and Powerpoint. CANVA and Concur Travel & Expense experience preferred
