Job Title: Accounting and HR Manager

SUMMARY: The Accounting and HR Manager manages accounting operations and HR processes, including payroll, employee records, compliance, and reporting. As a member of the leadership team, this role partners with department leaders to support reliable financial operations and effective people systems across the organization.

ACCOUNTING/FINANCE DUTIES:
- Perform general bookkeeping in QuickBooks, including daily deposits, accounts payable (Cafe, Advertising, Operations), credit card transactions, journal entries, and bill payments (check, ACH, and online).
- Prepare monthly financial statements and maintain accurate departmental P&L reporting on a monthly, quarterly, and annual basis.
- Run bi-weekly payroll and maintain accurate payroll data across all associated internal systems.
- File and remit monthly sales tax for Texas and other applicable states.
- Manage accounts payable planning and payment schedules; assist with maintaining banking information, including Frost ACH and EPA lists.
- Support and improve accounts receivable processes to ensure accuracy and efficiency.
- Perform regular reconciliations, positive pay uploads, ACH tracking, and other daily, weekly, monthly, and annual accounting tasks.
- Complete annual property tax renditions and support other required financial filings.
- Maintain and optimize accounting software and systems; recommend and implement efficiency improvements as needed.
- Monitor expenses to ensure compliance with approved purchasing guidelines.
- Build and maintain accurate sales forecasts and budgets in partnership with the General Manager and department heads.
- Improve visibility into revenue performance and support management decision-making through clear, reliable financial reporting.
HR DUTIES:
- Manage organization-wide new hire onboarding and employee lifecycle processes.
- Oversee timecard approvals and serve as the primary liaison between BookPeople and Paycom.
- Maintain accurate, up-to-date employee records, including status changes and required documentation.
- Manage employee benefits administration, including documentation, vendor coordination, and annual open enrollment.
- Adopt and implement new HR-related software as needed, including training department heads and employees.
- Partner with the Administrative and Employee Resource Manager on HR initiatives, including performance reviews, role clarity, and process improvement.
- Support the digitization, maintenance, and continuous improvement of HR records and systems.
- Help foster an equitable, inclusive, and respectful workplace.
OTHER DUTIES:
- Facilitate effective communication between the accounting department and cross-functional teams.
- Complete and support required reporting and surveys (e.g., Texas Workforce Commission, Department of Labor, U.S. Census Bureau, ABA/Abacus), as required by law or request.
- Lead department operations through regular team meetings and 1:1s to align on priorities, goals, and initiatives.
- Ensure compliance with the BookPeople Employee Handbook, Collective Bargaining Agreement, and applicable policies.
- Support staffing needs for the accounting department, including hiring, training, performance management, and annual reviews.
- Manage HRIS and payroll-related systems and processes, including Paycom schedules, time-off requests, and related departmental tools.
- Ensure adherence to accounting department's loss prevention and safety guidelines for booksellers, both in-store and offsite.
- Maintain departmental organization, supplies, and operational standards.
- Pursue continuous improvement through thoughtful change, innovation, and adoption of new tools and processes as needed.
QUALIFICATIONS:
- Experience with QuickBooks or comparable financial software, including financial statement preparation, budget management, and general accounting best practices.
- Familiarity with HR practices and applicable labor laws preferred.
- Ability to sign and comply with a confidentiality agreement.
- Must successfully pass a background check.
- Must be able to occasionally drive a company delivery van to deliver deposits to the bank; valid driver’s license and clean driving record required, including authorization for release of Texas Personal Driver Records.

SALARY:
$50,000 annually, exempt
SCHEDULE REQUIREMENTS:
This is a full-time, in-office position, with a minimum of 40 hrs per week. Must be able to work mornings, evenings, weekends, and holidays, as needed.
