Job Description
The Administration and Student Affairs Coordinator plays a key role on a team that supports Graduate Program students and visiting researchers in their academic, student life, and co-curricular pursuits and aids other members of the Graduate Program and International Legal Studies department as needed.
As the Administration and Student Affairs Coordinator you will:
- Coordinate, and have primary responsibility for, LL.M. student information, course and written-work registration support, and progress toward degree requirements; maintain and design reports; monitor progress toward degree requirements; administer degree voting process.
- Serve as a first point of contact for students, staff, and visitors; and share office management and primary front desk responsibility for the Graduate Program and International Legal Studies Department.
- Lead and coordinate programming to promote integration between JD, LL.M., S.J.D., and exchange students
- Maintain and provide information regarding LL.M. bar exam eligibility and related opportunities. Coordinate with other departments/colleagues on any relevant changes to or updates on requirements.
- Advise students on course and credit requirements and writing requirements; maintain records regarding petitions for variances.
- Serve as primary departmental resource for automated student information and registration system. Maintain and update records; test and implement procedures; identify and resolve issues; create documentation; handle student inquiries.
- Plan, execute, and advertise student events; manage the priority booking process on behalf of the department; serve as department’s first point of contact for service providers.
- Collaborate with the Associate Director to plan and execute orientation programming and other complex Graduate Program events; handle regular events for LL.M., S.J.D., and exchange students and visitors. Responsible for all event logistics.
- Administer department financial processing, including reimbursements and vendor payments.
- Serve as a primary contact for LL.M. students and student government representatives, and for other offices regarding LL.M. student life matters.
- Collaborate with other departments regarding LL.M. student services and academic affairs.
- Lead planning and production of informational materials in all formats for incoming LL.M. students, including information sessions, videos, arrival checklists, and admitted student web pages; maintain department web pages and course pages.
- Develop and maintain a thorough understanding of Harvard and HLS policies and procedures for student events; advise student leaders on logistics and event planning.
- Assist with admissions-related projects, as needed, during applicable season.
- Perform other duties as assigned.
Qualifications
Basic Qualifications
Five or more years’ related experience. Education beyond high school may count toward experience.
Additional Qualifications and Skills
We are looking for people who:
- Have a bachelor’s degree (a strong plus)
- Are proficient with Microsoft Office, Adobe Professional, Canvas, web publishing tools, and student information systems
- Enjoy working with international students and a wide array of constituent groups, representing the Graduate Program through collaboration with departments throughout HLS and the University.
- Demonstrate effective writing, communication, interpersonal, time management, and project management skills
- Can work both independently with minimal supervision and as part of a team.
- Can handle complex and confidential matters with discretion and maturity.
- Seek out and learn new technologies to enhance the student experience and increase efficiency.
Experience in an academic setting is helpful, as is experience with event planning and website maintenance. A strong candidate is an organized and resourceful self-starter who can work independently but is also an excellent team player with strong leadership skills.
Additional Information
Standard Hours/Schedule: 35 hours per week. Full-time, M-F. Overtime and evening work required periodically and during designated times of the year.

This position will initially work on campus 5 days a week with the opportunity for a hybrid schedule after the first 90 days of employment (orientation and review period) based on business needs and manager approval.

Work Format Details
This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
Salary Grade and Ranges
