Under direct supervision, performs a wide range of office administration duties for assigned functions or program areas. Duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit; and provides information and assistance to internal and external customers.
All District 4 Public Health, County BOH employees are deemed essential employees in the event of an emergency. As such, you may be called on to participate in an event not limited to but including, staffing a shelter, a Specimen Point of Collection Site (SPOC) and/or Point of Distribution site (POD). When you are called on to participate, you are expected and it will be a part of your job requirement to participate, whether the emergency occurs during or outside regular work hours.
Job Responsibilities
- Assists program coordinator with outreach activities to include HIV rapid testing, community education, and literature distribution.
- Assists program coordinator with ensuring monthly supply orders to community partners and district health departments are delivered via direct delivery or mail.
- Ensures mail order condoms are managed, packaged, and delivered via USPS.
- Assists program coordinator in searching for new community partners for both condom delivery and community outreach activities.
- Maintains necessary data, contracts, MOUs, and reports as required by program.
- Assists with preparing required paperwork for program.
- Contacts referral sources when needed.
- Assists program staff with guiding HIV positive individuals through the program process on an as-needed basis.
- Assists program staff with directing HIV positive individuals in locating resources on an as-needed basis.
- Prepares and mails correspondence as needed.
- Files and organizes charts.
- Answers and returns phone calls.
- Assists with meetings and trainings.
- Participates in emergency preparedness activities as directed by supervisor.
Minimum Qualifications
Administrative Assistant 1 – (Annual Salary - $33,000)
High school diploma/GED AND two (2) years of job-related experience

Preferred Qualifications:
- Ability to speak Spanish and English
- Some experience with medical terminology
