Job Summary
Provide various administrative functions within Student Life and Intercultural Student Services Departments. Generally, serve as a contact for the day to day functions and works software and complex office equipment and supervision to student workers. Lead or direct all office support functions. Model excellent customer service to students, faculty, administration, staff or others through all methods of contact. Confidentiality and discretion are required. Work closely with the Director of Student Life, Coordinator of Student Life and Intercultural Student Services to successfully carry out the mission, vision and goals of the department as well as educate the college community on policy and procedures related to core business.

Serve as the college Student Navigator Generalist and provide campus and community resources to assist students in overcoming barriers that students may have in obtaining educational success. As a staff member, this position may be involved with coaching and mentoring students on academic and personal needs. Support the mission of Student Life Department including managing the Electronic Engagement System.

Essential Duties and Responsibilities including the following. This is a list of responsibilities for the combined role of Administrative Assistant II and Student Navigator Generalist.

Administrative Assistant II
· Proficient in using all methods of telecommunications.
· Perform computations and routine statistical analysis regarding budgets, grants, financial processes and government reports.
· Excellent verbal communication skills while facilitating communication at all levels with sound judgment and skill.
· Coordinate supervisor’s schedule and make appointments as requested.
· Maintain accurate knowledge of college-wide resources in order to respond to questions for both internal and external customers.
· Proofread completed documents to check for errors and make corrections.
· Arrange and coordinate travel schedules and reservations as needed.
· Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record notes/minutes of meetings.
· Prepare outgoing mail and correspondence, including e-mail and faxes.
· Attend meetings as needed. Research, compile, and summarize information for reports or presentations
· File, or code and arrange filing of completed documents as well as purge files in accordance with statutory governmental regulations and/or college guidelines.
· Order and maintain supplies, and arrange for equipment maintenance.
· Provide excellent customer service to all clients through all methods of contact.
· Establish and maintain an inventory system for all division materials and equipment.
· Assist staff with software and technology issues and training as necessary.
· Prepare and/or process various forms, including pay processing forms, travel documents, reimbursement documents and purchasing card (P-Card) reports
· Serve on appropriate college committees that relate to position and department functions.
· Assist with Campus Engagement Events as needed.
· Proofread completed documents to check or errors and make corrections
· Regular attendance is expected.
· Using tact and courtesy, the ability to establish and maintain effective relationships with persons contacted in the course of work.

Student Navigator Generalist
· Create and maintain campus and community resource guide for students.
· Direct students to appropriate resources.
· Serve as Liaison between students in need and appropriate resource centers.
· Develop and maintain collaborative relationships to best serve at risk and enrolled student’s needs.
· Assist with Intercultural Student Services Programs and Events.
· Track Intercultural Students and send out communications.
· Monitor and Report International Student Data through SEVIS.
· Manage and enter appropriate data for A-1 submission from various data sources.

Minimum Qualifications
Bachelor’s degree from an accredited college or university.
Experience working with Windows, Microsoft Word, Excel (spreadsheet design and entry), database entry, Web page maintenance and or administrative software systems
Bilingual Preferred

Ability to read, understand and express oneself clearly.
Ability to compute and interpret documents such as policy and procedure manuals. Ability to write routine reports and correspondence.
Ability to support practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
