Job Description

As an Administrative Associate, you will be an integral part of our healthcare team, ensuring smooth office operations and exceptional patient experiences. Your duties will include registering and admitting patients, maintaining accurate medical records, and collaborating with the care team to meet patient needs. This role requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced medical environment.

Responsibilities

  • Perform general office and administrative tasks to support patient care and departmental activities.
  • Register and admit patients by collecting and entering demographic, insurance, and financial information.
  • Maintain complete and accurate medical records, ensuring patient confidentiality.
  • Work collaboratively with the care team to provide comprehensive patient care.
  • Assist other team members as needed, demonstrating flexibility and adaptability.
  • Ensure familiarity with institutional policies and procedures, especially in healthcare settings.
  • Possess knowledge of medical terminology and medical insurance processing for efficient record-keeping.
  • Demonstrate excellent interpersonal skills to effectively communicate with patients and colleagues.
  • Set priorities, solve problems, and exercise sound judgment in challenging situations.
  • Maintain a safe and healthy work environment, adhering to hospital safety protocols.

Qualifications

  • High School diploma or equivalent, with the ability to read, speak, and write English fluently.
  • CPI (Crisis Prevention Intervention) certification by 10/31/25 for existing employees, and new employees have 1 year from the hire or transfer date.
  • Six to nine months of healthcare experience, preferably in an office or clerical role, to understand institutional processes.
  • Proficiency in Clinical Applications is preferred at the time of hire, with training provided for incumbents.
  • Interpersonal skills to collaborate effectively with diverse team members and patients.
  • Ability to be flexible, set priorities, and make sound decisions in a fast-paced medical environment.
  • Visual and physical ability to work at a computer terminal for extended periods.
  • Physical strength to lift and move equipment, with the ability to lift 25-30 pounds frequently and 50-100 pounds with assistance occasionally.
  • Excellent organizational skills to manage patient records and administrative tasks efficiently.
  • Strong communication skills, both verbal and written, to interact with patients, families, and healthcare professionals.
