Job Summary

Reporting to the Capital Construction Business Officer, the Administrative Services Assistant Senior performs as a key member of the Facilities Management – Planning, Design, and Construction Department; Delivers high level support for the overall business operations as well as general office administration, including procurement, accounts payables, reporting, budget tracking, Procard edits, space and equipment inventory, and billable time processing; Oversees and tracks the issuance of Per Diem contracts and Per Diem payments for Architects and Engineers; Administers the Biennial Per Diem RFP & Award Processes; Schedules Meetings, Prepares Correspondence and Reports, Coordinates Travel and Reimbursements, and addresses other day-to-day departmental matters.

In addition, the Administrative Services Assistant Senior performs special projects as assigned or required by the Capital Construction Business Officer, Capital Construction Director, and Associate

Vice President for Planning, Design, and Construction; and ensures departmental compliance with the Record Retention Requirements of various files, documents, and archival records.

Skills / Knowledge / Abilities

MS Windows/Office Proficiency (Outlook, Excel, Word, and PowerPoint); SAP; FileMaker Pro

Driver’s License — Preferred

Demonstrated proficiency with MS Windows/Office; Exceptional Written and Verbal Communication Skills; High Initiative; Integrity; Attention to Detail; Problem Solving; Critical Thinking; Accounting; Customer Focus; Adaptable.

Knowledge of UK Business Procedures and Processes — Preferred.
