Job Summary

The College of Pharmacy (COP) is seeking a full-time Administrative Support Associate I to serve as a Generalist Disbursement ‘Subject-Matter-Expert’ (SME) in the Centralized Business Operations (CBO) at the University of Kentucky.

This position will process a variety of financial transactions daily including, but not limited to travel vouchers, PRDs, SRMs, pro-card edits, and goods confirmations. Safeguards the funds disbursed by ensuring the stewardship and appropriateness of expenditures; compliance with all laws, regulations, and restrictions regarding the COP’s disbursement activities; ensuring a working knowledge in all respective disbursement areas.

The Generalist SME is responsible for the development, implementation, and monitoring of an effective system of internal controls in conjunction with the COP Assistant Dean for Finance and Administration (ADFA) and Director of Accounting around disbursement activities intended to safeguard COP resources, disclose accurate financial information related to voucher disbursements and ensure compliance with applicable university and COP regulations, policies, and procedures. Responsible for maintenance of CBO financial files in accordance with the records retention model implemented by the COP CBO Leadership.

This position will also receive daily shipments from vendors and ensures all assets are fully secured in the receiving area. Notifies appropriate personnel for pick-up of shipments and maintains all shipment records.
