JOB SUMMARY
The Associate Dean of Enrollment Management provides leadership and oversight for Admissions, Student Records, and Early Postsecondary programs. This role ensures operational excellence, regulatory compliance, and strategic alignment and synergy across multiple enrollment functions and processes. The Associate Dean supervises directors in these areas, leads policy development, supports and enforces academic compliance, and fosters collaboration across institutional departments. This position is essential in supporting student access, success, and data integrity throughout the enrollment lifecycle.
MINIMUM REQUIREMENTS / QUALIFICIATIONS
- Master’s degree required. Specialization in Higher Education, Educational Administration, Student Services, K-12 Education, or a closely related field preferred.
- Minimum of six (6) years of progressively responsible experience in higher education of which five (5) of those years should include direct supervisory or leadership experience, including oversight of professional staff and cross-functional teams.
- Demonstrated experience with student information systems (e.g., Banner), document management systems, and CRM platforms.
- Familiar with academic compliance, including FERPA, residency classification, state and federal regulations, and accreditation standards.
- Excellent interpersonal, communication, and organizational skills with the ability to work collaboratively across departments.
ESSENTIAL JOB FUNCTIONS
Strategic Leadership & Academic Compliance (35%)
- Assist the Dean of Enrollment in providing strategic leadership and direction for Enrollment Services areas, including Student Records, Admissions, and Early Postsecondary programs, ensuring operational excellence, policy alignment, and student-focused service delivery.
- Supervise and support directors and staff, fostering continuous improvement, accountability, and professional development.
- Serve as the institution’s primary lead for academic compliance across enrollment functions, including FERPA, residency classification, academic standing, grading policies, and state/federal reporting.
- Interpret and apply federal, state, and accreditation standards, lead policy development, implementation, and enforcement.
- Collaborate with various college and external entities to ensure audit readiness, accreditation compliance, and data integrity.
- Lead cross-functional initiatives to enhance efficiency, data accuracy, and institutional alignment across academic records, systems, and early college programs.
- Provide training and ongoing communication to faculty and staff on academic policies, enrollment regulations, and compliance.
Oversight of Registrar Services (20%)
- Oversee registrar operations including registration, grading, transcript processing, academic standing, FERPA compliance, degree conferral, and graduation certification.
- Serve as the institutional Residency Officer, ensuring compliance with federal, state, and institutional policies related to academic records.
- Coordinate training and policy implementation for faculty and staff concerning academic policies and student records.
- Monitor the accuracy, efficiency, integrity, and compliance of registrar functions in accordance with institutional policy.
Administration of Early Postsecondary Opportunities (20%)
- Oversee operations of Dual Enrollment, Dual Credit, and Tennessee Valley Early College (TVEC) programs, ensuring curricular alignment and compliance with state standards.
- Develop and maintain partnerships with school districts, counselors, and administrators to promote early college access.
- Coordinate registration processes for dual enrollment students and facilitate parent and student information sessions.
- Validate student eligibility and oversee funding processes for Dual Enrollment Grant and other funding sources for early college programs.
- Collect, analyze, and provide data to the offices of Institutional Research and Title III to evaluate program effectiveness and implement continuous improvement strategies.
Administration of Admissions Processing (20%)
- Oversee the application review process, ensuring proper documentation and admission eligibility decisions.
- Ensure accurate processing and residency classification according to institutional and state policies.
- Supervise admissions staff managing data entry, document handling, applicant communication, and application processing.
- Monitor and evaluate admissions workflows and policies to improve efficiency and applicant experience.
Non-Essential Functions (5%)
- Represent the college in professional organizations such as AACRAO and state early postsecondary education groups.
- Serve on college-wide committees and participate in institutional events.
- Pursue professional development and additional credentials as appropriate.
- Perform other duties as assigned.

- Proven ability to lead and align multiple functional areas (Admissions, Student Records, Early Postsecondary) with institutional priorities.
- Experience in setting goals, managing change, and implementing strategic initiatives in a complex educational environment.
Academic Compliance Expertise
- Deep knowledge of academic regulations including FERPA, residency classification, grade policies, and state/federal reporting.
- Experience ensuring institutional readiness for audits, accreditation reviews, and state-level compliance checks.
Supervisory and Staff Development Experience
- Demonstrated success in supervising, mentoring, and evaluating professional staff.
- Ability to build cohesive teams, foster accountability, and support ongoing professional development.
Enrollment Operations Knowledge
- Hands-on experience with application processing, registration, transcript management, graduation certification, and dual enrollment procedures.
- Understanding of how registrar, admissions, and early college processes interact to impact student success and institutional outcomes.
Systems and Data Proficiency
- Proficient in using student information systems (e.g., Banner), CRM tools, and reporting platforms to guide decisions and streamline operations.
- Ability to analyze data for trends, identify process improvements, and support enrollment planning.
Communication and Collaboration
- Strong interpersonal and communication skills to effectively engage with faculty, staff, students, school partners, and senior leadership.
- Skilled in translating policy into practice and ensuring consistent communication of expectations and changes across departments.

- Experience creating or supporting initiatives that remove barriers and improve the student experience.
WORK ACTIVITIES & EQUIPMENT
Job responsibilities often involve working with personal computers and peripheral devices. Photocopy and other office machines are frequently used.
JOB LOCATION
This position is an on-site role located in the Student Center-Office of Enrollment Management, located on the main campus of Cleveland State Community College in Cleveland, Tennessee. Occasional travel to off-campus sites within the college’s five (5) county service area may be required.
