
Athletic Coordinator
Position Summary:
The Athletic Coordinator provides high-level administrative and operational support to the Athletic Department. This role manages complex scheduling logistics, coordinates athletic event operations, supports team travel, tracks departmental expenditures, and serves as a central communication liaison among coaches, faculty, students, families, and the broader school community.
Key Responsibilities:
- Assist the Athletic Director with tracking the Athletic Department budget
- Complete purchase orders for approval
- Assist with ISL and conference eligibility forms
- Maintain the Athletic Department master schedule with Tabor’s Equipment Manager to assure accuracy of all home and away events while coordinating with Tabor Academy’s master schedule
- Schedule athletic event personnel (score keepers, clock operators, etc.)
- Coordinates logistics of away games including transportation, meals, hotel reservations and related accommodations
- Provide support to the Athletic Director and coaching staff during tournament time; managing timely submission of tournament entry fees and corresponding paperwork
- Assist the ATC staff with medical clearance forms for all athletes
- Schedule game officials and ensuring payment timeliness
- Complete all required entry forms and associate fees
- Post all team rosters and schedules for the Tabor Academy website
- Coordinate early dismissal for student athletes for games and events with faculty and staff
- File all accident/injury reports with appropriate school personnel
- Order all Tabor athletic awards
- Perform other duties as assigned.
Required Skills and Abilities:
- Proficiency in Microsoft Office (Word and Excel)
- Strong organizational skills with the ability to manage multiple priorities and high-volume scheduling logistics in a fast-paced environment
- Ability to learn and use scheduling and web-based systems
- Experience tracking budgets and completing purchase orders accurately
- Ability to follow detailed instructions and perform work with speed and accuracy
- Excellent verbal and written communication skills
- Ability to work independently and collaboratively in a complex, team-oriented environment
- High level of confidentiality (academic, medical, family information)
- Proven record of attendance and punctuality
- Solution-oriented mindset and willingness to support department and broader school needs
- Flexibility to work evenings/weekends on occasion
- Successful completion of background and motor vehicle checks
Preferred Skills and Abilities:
- Experience working in an independent school or educational environment
- Experience supporting an athletic department or coaching staff
- Familiarity with:
- ISL or similar athletic conferences
- Team scheduling software
- Budget tracking or financial reconciliation
- Experience coordinating travel logistics (transportation, lodging, meals)
- Experience managing websites or posting online content
- Prior experience handling medical/eligibility documentation
Work Schedule: This is a full-time position (40 hours per week) with a schedule that varies based on the needs of the athletics department. Flexibility to work occasional evenings/weekends is required, particularly during athletic seasons throughout the academic year.
Physical Requirements:
- Prolonged periods of standing, walking, stretching, bending, kneeling, and pulling
- Ability to lift up to 50 lbs.
- Ability to work in a variety of weather conditions
