Job Definition

We are seeking a highly organized and detail-oriented Business Operations Coordinator I to provide essential administrative and financial support for Corporate Communications. This position plays a critical role in supporting daily business functions, ensuring accurate processing of financial transactions, coordinating logistics, and maintaining compliance with internal policies and procedures.

The Business Operations Coordinator I assists with operations of the District by coordinating varied tasks, such as scheduling meetings or work activities, developing and maintaining documentation, working with internal and external stakeholders, maintaining vendor relationships, and/or assisting with budget preparation. The Business Operations Coordinator I achieves success through excellent time management and communication skills, the ability to collaborate with teams, and meeting deadlines.

The successful candidate will have strong administrative skills, the ability to manage multiple priorities, and experience supporting financial, travel, and vendor-related processes. This role works closely with internal teams, vendors, and contracted partners to ensure smooth and efficient operations.

Experience/Education

Minimum Education and Experience

  • Associate's Degree in Accounting, Business, IT, or related field;

OR

  • Two (2) years of office/clerical or customer service experience.

Key Responsibilites

This position will focus heavily on administrative and financial coordination, including but not limited to:

  • Providing administrative support for purchasing cards (P-Cards), visa transactions, and expense report processing for staff, ensuring accuracy, documentation compliance, and timely submittals according to directive policies and procedures.
  • Coordinating travel authorizations, reconciling travel-related expenses, and supporting staff with travel-related inquiries.
  • Reviewing employee timesheets and contracted teacher timesheets, including verification, reconciliation, correction to employee timecards, and processing payments for teacher timesheets.
  • Assisting with contracts and invoices, including tracking, routing for approval, and ensuring timely payment processing. Processing invoices using an enterprise-wide SAP Business Client database.
  • Providing daily outlet store vendor support, serving as a point of contact for routine operational and administrative needs.
  • Managing digital advertising placement payments and correspondence, coordinating with vendors and internal stakeholders to ensure accurate billing and documentation.
  • Scheduling and coordinating team meetings, preparing agendas as needed, tracking action items, and maintaining organized records.
  • Maintaining organized records, files, and documentation in accordance with established policies and retention requirements.
  • Supporting additional administrative, financial, and operational duties as assigned to meet departmental needs.

Desired Knowledge, Skills, and Abilites

  • Strong administrative and organizational skills with exceptional attention to detail.
  • Experience supporting financial processes such as expense reports, invoices, and payment tracking.
  • Ability to manage multiple tasks, deadlines, competing priorities, and follow-up.
  • Effective written and verbal communication skills for internal and external correspondence.
  • Proficiency with standard office software and financial or enterprise systems.
  • Ability to work independently while collaborating effectively with cross-functional teams.

Preferred Qualifications

  • Experience supporting P-cards, travel authorizations, expense reporting, and vendor payments.
  • Familiarity with contract processing, invoice review, and payment workflows.
  • Experience working in the public sector, banking, retail supporting outlet store operations, and vendor coordination.
  • Computer applications for minimum 5 years, including Microsoft Teams, Excel, PowerPoint, Word, SharePoint, Outlook, and SAP Business Client.
