Job Description

Job Summary:

Reporting to the Editorial Manager, the communications coordinator performs a range of complex administrative and support duties to coordinate the activities and procedures of the Communications Department at Harvard Radcliffe Institute. The communications coordinator serves as the project manager for the Communications Team and is the primary contact for the Institute's internal clients who seek communications support, and assists generally with Communications Department efforts.


Job-Specific Responsibilities:

  • Serving as the primary contact for internal clients seeking communications support.
  • Acting as liaison and managing the intake of all internal communications requests, and maintaining the Communications department calendar.
  • Providing department-wide communications support.
  • Working in a content management system (CMS), makes updates and corrections to web content.
  • Drafting correspondence, reports, and other communications materials; editing and/or proof reading making stylistic, structural, grammatical and other substantive changes, as needed.
  • Managing assigned communications projects including but not limited to: editorial, design, publication and production aspects of communications materials.
  • Organizing and implementing administrative systems and procedures performing necessary support duties, including basic financial support.
  • Performing other related duties as assigned.


Working Conditions:

This job is performed in a temperature controlled office environment generally between 9:00 AM to 5:00 PM Monday through Friday. Occasional work during the weekends and beyond regularly scheduled hours may be required. The weekly schedule may vary, occasionally based on departmental needs.

  • Employee must have the ability to sit at a desk for a minimum of seven hours a day and complete tasks requiring repetitive use of hands. Ability to walk distances to other University offices.
  • Employee may be called upon to move boxes heavier than 50 pounds.

Qualifications

Basic Qualifications:

  • Bachelor's degree in communications, journalism, related field, or an equivalent combination of education, training, and experience.
  • At least three years administrative experience in communications, journalism, multimedia, or publishing (education beyond high school may count toward experience).
  • Comprehensive knowledge of Microsoft 365.


Additional Qualifications and Skills:

  • Strong interpersonal skills and the ability to interact and work effectively with others.
  • Excellent organizational skills and the ability to handle multiple tasks simultaneously; ability to meet deadlines.
  • Ability to gather data, compile information, and draft a range of written materials.
  • Familiarity with a content management system and Adobe Creative suite highly desirable.
  • Prior communications experience in a higher-education setting is a plus.
  • Familiarity with Windows and Mac operating systems.

  • Standard Hours/Schedule: 35 hours per week.

Work Format Details

This is a position that is based at a Harvard campus location with some remote work options available. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
