Background & Context:
Habitat for Humanity International Asia-Pacific (HFHI AP) is committed to building a strong leadership culture that supports mission delivery, fosters inclusion, and builds organizational resilience. Leaders across the region operate in diverse contexts, lead cross-cultural teams, and navigate ongoing organizational changes and strategic priorities.
To support leadership effectiveness, HFHI AP intends to establish a pool of accredited coaches continuous, ongoing coaching engagement with external coaches as we build a pool of accredited leadership coaches or coaching firms within the Asia Pacific region. This engagement is meant to strengthen leadership capabilities, support people leaders at various levels, and provide a confidential, structured space for leaders to reflect, develop, and elevate performance.
Unlike project-based consultancies, this coaching support is engaged on demand, based on evolving organizational and individual needs, rather than being timebound or project specific based on organizational needs, onboarding cycles, leadership transitions, and individual development plans.
Objectives & Purpose:
To provide ongoing, high-quality professional coaching services that enable HFHI AP leaders to enhance leadership effectiveness, accelerate development, and contribute to a healthy organizational culture.
Specific Purposes:
- Build leadership capacity in regional and country programs aligned with HFHI values, competencies, and strategic priorities.
- Support leaders through role transitions, expanded responsibilities, and organizational change.
- Strengthen leadership skills, including communication, coaching, feedback, and team engagement.
- Develop leaders’ self-awareness, decision-making, resilience, and collaboration.
- Provide a confidential space for reflection, problem-solving, and personal growth.
In Scope
- One-on-one coaching sessions for leaders at identified levels.
- Group or team coaching based on need and strategic fit.
- Coaching for new leaders, newly promoted leaders, and high-potential leaders.
- Goal-setting and progress tracking aligned with HFHI's Servant Leadership Capability Framework.
Out of Scope
- Therapy, counseling, mental health intervention.
- Performance investigation or corrective action processes.
- Delivery of HR or OD projects beyond coaching scope.
Coaches will be engaged on a per-assignment or per-coachee package basis. HFHI AP will maintain a roster of pre-qualified and vetted coaches and match each leader with the most suitable coach based on development needs, leadership level, cultural context, and coach expertise. HFHI AP does not operate on a retainer model; coaches on the roster will be engaged strictly on a per-assignment basis.
- Sessions typically 60–90 minutes every 3–4 weeks.
- Mode: Virtual or in-person.
- Multiple coaches may be active simultaneously.
5.1 HFHI AP / HR-L&OD (Program Owner)
- Manage selection, roster management, contracting.
- Facilitate matching.
- Monitor utilization and satisfaction.
- Conduct coaching sessions in line with professional coaching ethics
- Maintain confidentiality of session content.
- Establish coaching goals with coachees.
- Provide periodic non-sensitive updates (attendance, and high-level progress themes only).
- Notify HR of risks related to engagement (excluding confidential content).
- Participate in alignment and close-out conversations if applicable.
To ensure high-quality and consistent leadership coaching support, external coaches or coaching firms engaged by HFHI AP are expected to meet the following minimum qualifications and professional standards:
Required Qualifications
- Formal coach training from an ICF-accredited program.
- An active ICF credential (ACC, PCC, or MCC) preferably PCC or MCC.
- Minimum of 5 years of professional coaching experience, including coaching of people managers and senior leaders.
- Minimum 250 hours of coaching experience
- Demonstrated experience in leadership coaching within complex, matrixed, or multicultural organizations.
- Strong understanding of organizational dynamics, leadership development, and adult learning principles.
- Commitment to recognized coaching ethics and professional standards.
- Prior experience coaching leaders in NGOs, international organizations, or mission-driven organizations.
- Experience coaching leaders across diverse geographies and cultures, particularly in the Asia-Pacific region.
- Familiarity with and ability to coach using the following frameworks and tools:
- CliftonStrengths® (Gallup StrengthsFinder)
- CCL 360-degree feedback tools or comparable leadership assessment methodologies Preference will be given to coaches who can integrate these frameworks into coaching conversations and use language familiar to HFHI leaders.
- Ability to establish psychological safety, trust, and strong coaching rapport.
- Demonstrated capacity to challenge constructively while remaining supportive and objective.
- Commitment to confidentiality and clear boundary-setting between coaching and performance management.
- Flexibility to adapt coaching approaches based on leadership level, development needs, and cultural context.
Session discussions between the coach and coachee remain strictly confidential and are not shared with HFHI AP, people leaders, or HR, with the following exceptions:
- The coachee voluntarily chooses to share takeaways or insights from the coaching engagement.
- The coach identifies a potential risk of harm, violation of HFHI policy, or legal or ethical concern that requires escalation in line with professional standards.
All coaching-related data must comply with HFHI policies, applicable data protection regulations, and professional coaching ethics. No sensitive personal information may be stored, recorded, or shared without the explicit consent of the coachee.
8. Deliverables
From Coach/Firm
- Signed coaching agreements for each coachee.
- Session logs (attendance only).
- Quarterly utilization reports.
- Annual aggregate insights report (themes/trends, no personal or sensitive data), if applicable.
- Optional: group coaching/session summaries (aggregate, non-confidential).
- Servant Leadership Capability framework and guidelines.
- Feedback surveys and evaluation tools.
- Annual impact metrics report.
9. Key Performance Indicators (KPIs)
Coaching Vendor KPIs
- Coachee satisfaction ≥ 4.5/5.
- Completion rate ≥ 80%.
- Responsiveness and scheduling reliability ≥ 95% adherence.
- Compliance with confidentiality and data protection 100%.
- Improvement in targeted leadership competencies.
- Positive change in engagement or team metrics (where applicable).
- Qualitative improvements in leadership behavior and team feedback.
- This is a continuous engagement, renewable annually.
- Per-assignment contracting.
- Roster reviewed annually.
- HFHI AP reserves the right to review and adjust terms annually.
