Job Description
The Development Coordinator is a key member of the Development Administration team and is responsible for a variety of complex administrative activities across the HBS Development Office. This position supports the Managing Director of Development, Director of Development Administration, as well as a Reunion and Leadership Giving Officer and a Principal Gift Officer. The role reports directly to the aforementioned Director of Development Administration. The coordinator will be expected to:
- Build trust and collaboration by being present on-site and engaging directly with colleagues and various constituents.
- Work independently with minimal supervision in a fast-paced environment with multiple and conflicting priorities.
- This individual excels at multi-tasking, has strong attention to detail, anticipates and proactively resolves problems, is a team player, and has a “can-do” attitude.
Team Support:
- This role will help coordinate administrative efforts across the entire Development team as part of supporting the Managing Director and the Director of Development Administration.
- As needed they will manage projects that advance the goals of the development team which are varied during the year.
- As the administrative member of the development leadership team, this role coordinates all logistics for weekly leadership team meetings.
- This role works closely with sensitive donor information and is occasionally exposed to private internal matters. They will handle sensitive material with discretion, demonstrate professionalism, and always maintain confidentiality.
Team Leadership:
- Development Coordinator is viewed as a leader among their peers.
- This role helps to create a supportive environment among peers and assists with team-wide onboarding and training efforts.
- This role independently will execute on tasks that are critical to being a senior member of the development administration team.
Event Management:
- On occasion this role will help manage logistics for small donor cultivation events.
- Tasks include tracking invitation responses, prepping event supplies and coordinating all follow up correspondences.
- Assist the Director of Development Administration with planning and executing development team bonding events.
- Ensure all logistics, communications, and materials are managed effectively.
- Participate in planning and executing the annual leadership retreat.
Annual Giving Report (Project Management):
- Serve as the internal project manager for the annual giving report.
- Guide the process by setting deadlines, coordinating edits to donor lists, and ensuring quarterly data integrity. This role works closely with our Donor Relations team, Alumni Marketing and Communications and our IT team.
Administrative Office Support:
- Manage office supply purchases, including event specific items such as nametags, place cards, and lanyards. Ensure supplies are ordered in a timely and cost-effective manner.
- Monitor and track inventory to ensure donor and prospect gifts are available when needed.
- Research and recommend new gift options to keep offerings new and thoughtful.
Data Management:
- Maintain and distribute key reports, ensuring leadership has actionable insights on alumni engagement and fundraising progress.
Correspondence Communication:
- Oversee general correspondence between the University’s senior leadership and the development team. Maintain professionalism and timeliness in all communications.
Fundraiser Support:
- Partner with two to three Frontline Officers who are responsible for raising important philanthropic support of the School.
- This role is responsible for preparing reports, maintaining prospect data, supporting appeals, and managing travel/expense logistics.

Qualifications
Basic Qualifications:
- High School Diploma, GED, or equivalent is required.
- 5+ years of experience in administrative support role(s) is required.
- Education beyond high school may count toward experience.
- Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.
Additional Qualifications and Skills:
- This role requires initiative and is comfortable working independently and also be a strong team player.
- Willing to learn new software / databases and possess a willingness to learn AI.
- Excellent customer service skills required for frequent interaction with donors, alumni volunteers, and colleagues.

- Standard Hours/Schedule: This is a 40 hours/week, overtime eligible position.

This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. HBS expects all staff to be onsite a minimum of 3 days per week and departments provide onsite coverage Monday – Friday. Specific hours and days onsite will be determined by business needs and are subject to change with appropriate advanced notice.

Work Format Details
This is a position that is based at a Harvard campus location with some remote work options available. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
