Corporate Sales Administrative Manager

Poughkeepsie, NY

Pay:$67,000-$85,000/year (dependent on experience)
Bonus Potential: 10%

Key qualifications:

  • Experience in Business Administration, Supply Chain, Finance, Marketing, or related field; equivalent experience may be considered
  • 5+ years of experience in equipment sales administration, inventory management, supply-chain operations, or related roles preferred
  • Prior experience working with various systems, dealer operations, or heavy equipment distributors strongly preferred
  • 2+ years of supervisory or team leadership experience required
  • Strong knowledge of inventory forecasting and ordering processes
  • Solid understanding of transportation coordination, logistics processes, and negotiations
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM/ERP systems

Responsibilities

Minimal inventory carrying costs while meeting market demands

  • Continually evaluate machine inventory and market conditions to identify and forecast needs in order to generate machine order request
  • Effectively maintain and update DDVS to ensure proper communication channels to Caterpillar product groups
  • Work collaboratively with sales force to identify work tool needs based on machine inventory to ensure timely delivery and prevent lost sales

The proper configuration and order of machines, CAT work tools, and Allied work tools

  • Develop, maintain, and communicate new machine models and configurations. Solicit feedback from sales management team
  • Accurately order machines and work tools through appropriate channels in a timely manner to ensure deadline requirements
  • Order Allied machines and work tools by following policies procedures set by each distinct manufacturer

Timely and accurate receipt of funds from Caterpillar in order to fulfill obligations to all stakeholders

  • Examine sales costing worksheet and make necessary adjustments to reflect true costing as required by Caterpillar
  • Review and adjust claims to keep within program guidelines to avoid penalty when audited
  • Collect, process and maintain appropriate documentation pertaining to claim
  • Work cooperatively with Cat Reps to ensure accuracy of district supported programs
  • Track status of claim for accurate payment and pursue any discrepancies with appropriate Caterpillar Representatives

The effective and efficient coordination of the sales department activities

  • Supervise reporting to Caterpillar in CSS and Scoring of new, used and rental machines
  • Negotiate with other dealers to obtain inventory to meet sales needs
  • Approve and arrange the transportation of machines from the factory/dealers to the branches to meet local inventory needs
  • Collect documentation and file machine and work tool damage claim with appropriate company
  • Process Cat Defense merchandising claims through third party Ariba network

Qualifications

Physical Requirements:

  • Standing and/or sitting for prolonged periods of time
  • Hand coordination for typing, writing, and computer use
  • Occasional forward bending and reaching
