About the role:
We are looking for a Data Services Coordinator to support the adoption of best practices for data governance and ensure that CRM systems and large data sets meet the functional needs of the Wyss Institute. Reporting to the Director of Strategic Engagement, you will work with stakeholders from multiple departments to develop, analyze and disseminate enterprise data to support decision making, alignment to external opportunities, and preservation of institutional knowledge within the Institute. You will also contribute to the development and maintenance of organization-wide standardization to identify scalable strategies and facilitate long-term adoption of CRMs and large data sets for long-growth and efficiency.
What you'll do:
- Hubspot CRM and Data Management:
- Ensure the collection of accurate and relevant data across the Institute to optimize HubSpot, including Marketing Hub, Sales Hub as well as small and large data sets
- Produce routine and ad-hoc reports, including visualizations, written reports, slide decks, dashboards, and other communications from CRM and data sources
- Serve as primary administrative contact and liaison for the HubSpot CRM, ensuring smooth operations and shared knowledge across the Institute. Advise CRM users on system features and encourage adoption of best practices for data collection and external communication of needs and opportunities. Work closely with CRM vendors to resolve system issues and promote organizational priorities
- Manage communications across the CRM user base about scheduled maintenance, new development, testing, copy downs and instance use
- Data and Systems Optimization:
- Work cross-functionally to identify opportunities for automation and efficiency improvements for small and large projects. Assist with the prioritization and deployment of system enhancements and new capabilities. Contribute to the execution and improvement of applications by identifying and resolving issues
- Support data governance adoption and change management processes to ensure smooth transitions when updating workflows and processes
- Stay current on literature related to institutional research, and share novel approaches, best practices, and critical perspectives
- Events and Administrative Support:
- Provide support for Strategic Engagement-hosted meetings and events by working with relevant teams to register guests, validate parking, and perform other support tasks Meet guests upon arrival and escort them to the event location
- Submit timely requests on behalf of Strategic Engagement for catering, travel coordination, and other administrative support as needed
Qualifications
Basic Qualifications:
Three or more years of experience with relational data and reporting is required. Education beyond high school may count towards years of experience.
Desirable Skills:
- Associate’s degree is preferred.
- Strong attention to detail, data management skills, and proficiency with relevant software and tools to support data-driven decision-making and operational efficiency is required.

Work Format Details
This is a position that is based at a Harvard campus location with some remote work options available. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
Salary Grade and Ranges
