POSITION SUMMARY:

The Director, Rehabilitation Services is responsible for overseeing both clinical and non-clinical operations at the Envision Vision Rehabilitation Clinic(s) and Everyday Store(s) in both Wichita & Dallas.

Reporting to the VP, Foundation Mission Services Operations, the Director will work with the Managers and Clinic Coordinators of each location, to facilitate patient flow within the clinic(s), drive growth of both the business and its employees, and serve as a liaison between clinic staff and the broader organization. This position requires strong leadership and direction to support the organization’s mission, vision, and strategic goals through effective management of existing programs and the development of new initiatives.

The Director is responsible for ensuring and maintaining compliance with QuadA, HIPAA, CMS, grant funding requirements, vendors, state agencies, and other regulatory guidelines and regulations.

KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS INCLUDE:

Operational Oversight

  • Provide multi-site leadership to rehabilitation and low vision clinics across multiple states.
  • Ensure smooth clinic office flow, including patient check-ins, appointment reminders, scheduling, service authorizations, and electronic medical record management.
  • Ensure proper and timely collaboration between the clinic and the revenue cycle team
  • Maintain compliance with regulatory and accreditation standards through effective procedures and controls for financial management, client data, quality assurance, and staff and contractor training.
  • Monitor triage calls for low vision clinic and vision rehabilitation professionals.
  • Create and update patient electronic medical records while maintaining confidentiality.
  • Manage data and dashboards to drive data informed decisions and provide transparency to the team on monthly metrics.

Customer Satisfaction and Service Excellence

  • Promote a culture of excellent customer service at all levels of staff.
  • Ensure patient satisfaction by addressing complaints and implementing process improvements to prevent recurrences.
  • Foster a Culture of Excellence through continuous improvement, teamwork, and a positive work environment.

Financial Management

  • Develop and monitor the annual operational budgets, focusing on cost containment without compromising quality of care.
  • Coordinate Compulink, Clover, and Counterpoint software updates and training, ensuring efficient implementation across locations.

Leadership and Staff Development

  • Oversee recruitment, development, and performance evaluation of employees.
  • Assist the VP in identifying and implementing clinic procedures, policies, and process improvements.
  • Ensure that all new clinic employees and contractors are onboarded to the clinic, trained in Emergency Preparedness, Safety, HIPAA, clinic specific policies, and have access to systems needed, and at the level appropriate for their job function.

Partnership Development

  • Build and maintain relationships with consumer and advocacy groups, healthcare leaders, and referral sources to enhance rehabilitation programs.
  • Represent Envision Rehabilitation Services in collaboration with health organizations, government agencies (including multi-state Vocational Rehabilitation Services), and third-party payers.

Communication

  • Provide leadership in internal and external communications to ensure the organization’s mission and services are well understood.
  • Ensure all internal communication is “on brand” for the clinic and the organization.
  • Keep leadership informed about issues concerning rehabilitation services and current trends in the field.
  • Maintain confidentiality and protect the organization’s value by upholding the highest standards of privacy.

Collaboration

  • Work with multi-divisional functions (e.g., finance, IT, human resources) to ensure qualified staff recruitment, effective policies, and adequate training and development.
  • Work cross-departmentally to achieve clinical operation goals as well as other organizational or departmental goals (e.g., marketing, development, programs)

Other Duties

  • Assist with special projects as needed.
  • Flexibility to perform other duties as assigned.
  • Ability to travel up to 25% of scheduled time.


Qualifications

JOB REQUIREMENTS INCLUDE:

Education:

  • Bachelor’s degree in business administration, Health Care Administration or related field required

Experience:

  • Minimum of 5-7 years in medical office setting required; experience in an ophthalmology/optometrist’s office preferred; experience working with disability populations helpful.
  • Minimum of 4-5 years in a supervisory or management position required
  • Experience in creating and implementing efficient processes required
  • Experience in documenting procedures and policies required
  • Experience with training adult learners in a variety of subjects related to healthcare and professional development preferred
  • Experience with successfully creating and managing a budget of $500k or more required
  • Experience with driving culture change and/or fostering healthy work environments preferred
  • Experience providing multi-site leadership preferred
  • Experience with Electronic Medical Records (EMR) or optometric practice management system required; Knowledge of CompuLink Advantage a plus
  • Grants management, compliance and reporting experience required

Knowledge/Skills:

  • Proficient in Microsoft Suite (Word, Excel and Outlook)
  • Knowledge of regulations related to Medicare, Medicaid and private insurance
  • Working knowledge of HIPAA confidentiality and privacy policies
  • Knowledge of change management preferred
  • Knowledge in continuous process improvement methodology preferred
  • Ability to obtain the Director certification for Texas Workforce Commission vendor contracting services
  • Ability to communicate effectively and professionally with clinicians, patients, patient’s family members, clinic staff, administration, insurance payers, referring physician offices and the general public
  • Ability to read, interpret, and understand contracts and other legal documents
  • Strong customer service skills
  • Ability to multi-task in a fast-paced clinic environment
  • Knowledge of maintaining supplies and equipment for the medical setting
  • Skilled in medical database and electronic medical records for Medicare reporting and third-party billing
  • Excellent organizational skills and attention to detail; position requires prioritizing tasks and working independently
  • Bilingual (English/Spanish) preferred
