Job Summary
The Enrollment Coordinator reports directly to the dean of Healthcare Professions and provides comprehensive administrative and operational support across all healthcare programs. This position plays a vital role in assisting with the execution of program functions, student onboarding, clinical compliance, and coordination with internal departments and external partners. The role is focused on systems-based processes, regulatory documentation, and day-to-day program logistics to support faculty, students, and leadership.
Job Duties
- Assist with program admissions, enrollment, and course registration processes
- Recruit, orient, schedule, and monitor the work of tutors and student ambassadors, incorporating faculty input
- Maintain accurate student records and assist with academic advising, coordination, and communication
- Monitor program application cycles and ensure critical deadlines are met
- Manage student clinical compliance requirements, including immunizations, background checks, CPR certification, drug screening, and TB testing
- Utilize platforms such as the Tennessee Clinical Placement System (TCPS)/Healthstream to schedule clinical placements and monitor documentation
- Assist with vendor and clinical affiliates agreement compliance
- Track and maintain up-to-date vendor and clinical affiliation agreements in coordination with legal and administrative departments. Maintain and track program-related contracts, MOUs, and vendor service agreements (e.g., testing services, digital learning platforms). Ensure timely renewals and proper documentation in alignment with institutional policies
- Use institutional systems (e.g., SLATE, Banner, Argos, Excel) to enter and manage programmatic data. Generate reports related to enrollment trends and student retention
- Serve as point of contact for current and prospective healthcare students regarding program logistics, clinical requirements, and onboarding tasks
- Track at-risk students and coordinate referrals to appropriate campus resources
- Assist with planning and facilitating program orientations, recruitment events, faculty meetings, and advisory board sessions
- Work collaboratively with program directors, faculty, administrative assistants, and academic advisors
- Support school-wide initiatives, including student recruitment, retention, and student intervention for social and financial needs
- Serve as a backup or cross-train with other staff within the school as needed
- Perform other such duties as assigned by the dean
Minimum Qualifications
• Associate degree
• 2+ years of administrative experience, preferably in healthcare education
• Knowledge of HIPAA and regulatory compliance in healthcare settings
• Proficient in Microsoft Office Suite specifically Excel, Word, and PowerPoint
• Strong communication, organizational, interpersonal, and problem-solving skills
Preferred Qualifications
• Bachelor’s degree
• Experience with Banner, TCPS/Healthstream, SLATE or similar platforms
• Experience in project management and/or program coordination and database/reporting tools
Knowledge, Skills, and Abilities
• Proficient in Microsoft Office Suite, specifically Excel, Word, and PowerPoint
• Strong communication, organizational, interpersonal, and problem-solving skills

Pay Rate: $41,984 - $52,480 (Annual salary depending on eligible experience, which is defined by the current compensation plan.)
