As our Event Production Coordinator, you’ll play a key role in supporting the Event Production team to ensure seamless event delivery — from initial planning through post-event wrap-up. You’ll manage key administrative and technical functions that help bring concerts, games, and special events to life at Rose Quarter facilities. This position offers a behind-the-scenes look at live event production while supporting the coordination and efficiency of our stagehand operations.
DAY-TO-DAY:
- Coordinate scheduling, payroll processing, and recordkeeping for IATSE Local 28 stagehands, including training documentation and performance tracking.
- Serve as the primary contact for stagehand inquiries, providing timely communication and daily administrative support.
- Track budget expenses and maintain accurate stagehand payroll records.
- Support pre-event planning by preparing materials such as CAD drawings, labor and equipment estimates, and event schedules.
- Assist with the maintenance and troubleshooting of select facility systems including lighting, audio, anddisplays.
- Partner with the production team to identify opportunities to improve event operations and the overall event experience.
- Provide on-site event and game-day support as needed.
WE’D LIKE TO HEAR FROM YOU IF YOU:
- Have 1–2 years of experience in live event production, venue operations, or related administrative support.
- Are highly organized, detail-oriented, and reliable, with excellent time management and follow-through skills.
- Have strong communication and customer service skills, and enjoy working with a wide range of people.
- Can problem-solve independently while collaborating effectively as part of a team.
- Have an aptitude for learning and using various software systems and interfaces, including scheduling, payroll, and event management tools(experience with AutoCAD is a plus).
- Are proficient in Microsoft Office Suite and comfortable navigating spreadsheets and reports.
- Are flexible and adaptable in a fast-paced, event-driven environment with shifting priorities and schedules.
- Are self-motivated, proactive, and eager to find ways to make processes more efficient.
- Are comfortable working in non-traditional environments, including being at heights or in technical production spaces.
WE’D BE THRILLED IF YOU ALSO HAVE:
- Familiarity with AutoCAD, Vectorworks, or other event design software used to create production layouts and schematics.
- A background in arena, theater, or large-scale event operations and a genuine passion for creating smooth, memorable event experiences.
