How will you make an impact in this role?

The Executive Administrative Assistant will provide comprehensive administrative support to Vice Presidents, serving as a trusted partner and integral member of the leadership team. This role requires exceptional organizational, communication, and prioritization skills, along with strong personal integrity and discretion.

The ideal candidate is proactive, detail-oriented, intellectually curious, and thrives in a dynamic, fast-paced environment with multiple priorities. They anticipate needs, exercise sound judgment, and contribute positively to team culture.

Key Responsibilities

    • Manage complex executive calendars and proactively resolve scheduling conflicts
    • Coordinate meetings across time zones, including rooms, virtual platforms, and materials
    • Ensure smooth day-to-day scheduling and meeting logistics
    • Serve as a primary point of contact for internal and external stakeholders
    • Liaise on behalf of executives with professionalism and discretion
    • Maintain organization charts and key distribution lists
    • Coordinate domestic and international travel arrangements and detailed itineraries
    • Prepare and process expense reports in compliance with company policy
    • Manage supplies, procurement, and departmental documentation
    • Support onboarding and general office operations, including IT coordination
    • Participate in team meetings and contribute to team initiatives
    • Support special projects and promote a collaborative team environment

Minimum Qualifications:

    • Proven track record as an Executive or Administrative Assistant supporting senior leaders
    • Exceptional calendar management skills, including complex scheduling with executive offices and external partners
    • Excellent organizational skills with strong attention to detail and accuracy
    • Ability to prioritize multiple responsibilities with minimal supervision
    • Strong written and verbal communication skills
    • Sound judgment and ability to handle confidential and sensitive information with discretion
    • Proactive, solution-oriented mindset with strong follow-through
    • Ability to remain calm under pressure and manage competing priorities with urgency
    • Highly proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)

Preferred Qualifications:

    • Experience supporting Vice Presidents or senior leadership
    • Knowledge of American Express platforms and systems (e.g., Concur, Cisco/Webex, SAP Ariba, MyInfo, Payroll, TechCare)
    • Experience with procurement and expense systems
    • Familiarity with HR or Colleague Experience functions

Salary Range: $31.49 to $49.28 hourly + bonus + benefits
