The Global Merchant & Network Services (GMNS) organization is responsible for managing relationships with millions of Merchants and Partners around the world that facilitate American Express acceptance and enable the day-to-day operations of our company’s payment network.

The Network & Acquirer Solutions (NAS) team is at the heart of American Express. Each year, we power billions of transactions through our global payments network, serving American Express Cardmembers and Merchants, and our Issuing & Acquiring partners in more than 170 markets worldwide. We grow revenue by developing products, services and capabilities that deliver differentiated value to our merchants, partners, and customers.

The Executive Assistant plays a critical support function and is responsible for providing office management and administrative support to three Vice Presidents within Network & Acquirer Solutions. The Executive Assistant will lead calendar and administrative duties and expense and travel management. The candidate should demonstrate strong organizational skills and attention to detail. The Executive Assistant will also assist in the coordination of special projects and ad hoc administrative requests, as required.

Job Responsibilities

  • Organizing and proactively maintaining calendars, including scheduling meetings across multiple timezones, using a high level of tact and integrity
  • Coordinating conferences and staff meetings, including room booking, catering, and security
  • Coordinating travel arrangements and logistics (hotel, visa, rental car, and other travel-related needs)
  • Prepare travel and expense reports on a timely basis
  • Working closely with other administrative assistants on office operations and providing back-up support when needed
  • Maintaining headcount reporting, organizational charts, and department distribution lists
  • Managing the procurement of office supplies and other departmental needs
  • Supporting ad hoc project work as directed by leadership

Required Qualifications

  • Ideal candidate should have 3+ years of previous experience as an Executive Assistant
  • Excellent calendar management skills across time zones
  • Proven ability to quickly adapt and be flexible in a dynamic workplace
  • High level of integrity required for handling sensitive and confidential information
  • Strong interpersonal, relationship and networking skills to build and maintain effective professional relationships across all areas of the organization
  • Highly organized with an ability to demonstrate keen attention to details, adaptability, flexibility, resourcefulness and efficiency
  • Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively
  • Strong proficiency with MS Office, including Word, Excel, PowerPoint and Outlook required
  • Commitment to ongoing learning and development

Preferred Qualifications

  • Bachelor's degree preferred.
  • Experience with Webex, Ariba, Concur, Dayforce or payroll platform preferred
  • Commitment to ongoing learning and development

Salary Range: $24.05 to $48.10 hourly + bonus + benefits
