Position Overview:
The Executive Assistant provides high-level administrative support to the Chief Financial Officer (CFO), Chief Information Officer (CIO), and SVP, Client Services & Portfolio Management. This role requires agility in navigating shifting priorities within a dynamic, fast-paced environment, while exercising discretion, organization, and attention to detail. In addition to direct executive support, the Executive Assistant partners closely with the Senior Executive Assistant to drive alignment, coordination, and seamless support across the Office of the CEO. The role also plays an integral part in strengthening cross-team collaboration within the Leadership Teams through planning and execution of key meetings, initiatives, and engagement events.
Key Responsibilities:
- Oversee complex calendar management, coordinating internal and external meetings across multiple time zones, and accommodating last-minute changes and urgent business needs as required.
- Coordinate travel arrangements, itineraries, and on-the-ground logistics, ensuring seamless transitions between meetings, events, and locations.
- Serve as a professional point of contact between executives, internal teams, and external stakeholders.
- Support the planning and execution of executive and leadership events, including venue coordination, catering, travel, and onsite logistics, ensuring smooth delivery and professional, engaging participant experience.
- Process and reconcile expense reports in compliance with company policies.
- Collaborate with the Senior Executive Assistant to align priorities, share knowledge, and ensure consistent support across Executive and Senior Leadership teams.
- Prepare, edit and finalize materials, presentations, and agendas in coordination with the Senior Executive Assistant.
- Maintain and update confidential records, files, and databases.
- Support the Senior Executive Assistant by helping maintain and evolve the EA playbook and standardized practices to ensure seamless, consistent executive support, and play a role in fostering an engaged EA community.
- Contribute to special projects and initiatives in support of ELT members, working closely with the Senior Executive Assistant to ensure timely progress and successful outcomes.
- Partner with the Senior Executive Assistant on Phoenix office operations, including supply ordering, hoteling office reservations, and logistical oversight, to ensure the office space runs smoothly and efficiently.
- Serve as a reliable backup to the Senior Executive Assistant, stepping in to ensure continuity of executive and leadership support during absences or periods of high demand.
Qualifications:
- Associates degree preferred or equivalent combination of education and experience.
- 3-5 years’ administrative support experience supporting C-level or VP level executives.
- Strong organizational and time management skills with ability to prioritize competing demands.
- Excellent written and verbal communication skills.
- High degree of professionalism and discretion in handling confidential information.
- Advanced proficiency in Microsoft Office Suite, Google Suite, and collaboration tools (Teams, Zoom).
- Proven ability to work independently, anticipate needs, and take initiative.
- Experience assisting in event planning, particularly executive or leadership meetings and offsites, is highly preferred.
