Job Summary

The Executive Assistant provides comprehensive administrative support and project management to the Senior Vice President for Student Success (SVPSS) and team, with minimal supervision. A central aspect of this role is effectively managing the schedules, coordinating various commitments, and serving as a liaison between college departments and external partners. Responsibilities include conducting research, preparing reports, managing student groups, and executing advanced administrative functions. This role is crucial in leading the creation and revision of standard operating procedures and manuals for the Student Success division, as well as organizing significant divisional events. The Executive Assistant is responsible for handling sensitive administrative duties, maintaining confidentiality, and making critical decisions independently. The role demands high discretion, sound judgment, and efficient multitasking.

Executive Administration

  • Manages the calendars with judgment and discretion, coordinating internal and external commitments. Organizes meetings, prepares agendas, takes minutes, and handles logistical arrangements.
  • Acts as a liaison between the Office for Student Success and other college departments, as well as external partners. Manages travel arrangements including registration, transportation, accommodation, and material preparation.
  • Monitors and provides feedback on the budgets, including capital equipment purchasing, and liaises with the Budget Office.
  • Originates correspondence and generates reports on behalf of the Senior Vice President. Manages documents, sets priorities, and gathers information.

Project Management Support

  • Assists in coordinating special projects. Maintains and updates record-keeping systems. Sets up and manages filing systems.
  • Coordinates, screens, and submits divisional contracts for legal review. Guides the creation and maintenance of standard operating procedures and manuals for the division.

Customer Service

  • Manages public, student, and internal relations, including phone calls, appointments, and inquiries.
  • Resolves parent and student inquiries and complaints not requiring the personal attention of the Senior Vice President.
  • Oversees student complaint records and prepares data for HEI compliance reviews, reporting resolution status to the President’s Office.

Student Development

  • Collaborates with the Student Insights team to stay informed about student issues, coordinating a student advisory group, and effectively communicates insights. Advises students on important matters, maintaining confidentiality of records.
  • Communicates with students and coordinates the Academic Review Board.
    Functionally supervises and manages student workers, handling interviewing, hiring, payroll approval, and performance reviews.

Minimum Qualifications

  • Bachelor’s Degree in a related field.
  • Three (3) years of administrative office experience.
  • State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
