Job Summary:

The Executive Associate provides administrative support to the Vice President, Executive Director and Directors of the US Commercial, milvexian team. We are looking for a dynamic, performance driven, well organized and flexible individual who thrives in a fast-paced environment, with proven skills prioritizing and multi-tasking. Aside from being able to work independently and make decisions on behalf of the VP regarding calendar and travel events, the Executive Associate must be able to perform project focused duties and understand how to work professionally with matrix teams. Confidentiality is crucial to this position.

Job Description:

  • Performs highly diverse and complex administrative functions, including but not limited to proactive calendar management, travel arrangements, preparing expense reports, supporting recruiting activities, onboarding and offboarding, bravo, etc
  • Responsible for the organization and planning of meetings, including across the J&J/BMS Alliance
  • Resource to full marketing team for Workday, IT, budget and expense questions
  • Anticipates needs of manager and takes appropriate steps to produce desired outcome with minimal assistance from supervisor
  • Ensures manager’s preparedness for meetings e.g. assemble meeting materials, assist with PowerPoint presentations & pre-reads).
  • Prioritizes activities and acts based on an understanding of department objectives, and business needs
  • Anticipates key issues and implements action plans based on changing priorities and commitments. Be able and willing to adapt to constant change and can quickly course correct when necessary
  • Demonstrates strong decision-making capability to guide assigned projects to successful conclusions and meet deadlines
  • Maintains professional and technical knowledge by remaining current with BMS continuous learning modules.
  • Learns new systems to support team, including submissions and maintenance for Demand Management, Sharepoint, Microsoft Teams, etc
  • Supports team culture
  • Exhibits a positive work attitude, high productivity and a collaborative approach with other administrative assistants and partners across organizational levels and functions

Qualifications and Experience:

  • At least 8 years of administrative experience with significant experience supporting an executive and big team
  • Strong interpersonal skills in dealing with all levels of management internally and externally
  • Strong communication skills including excellent verbal and written skills
  • Proven ability to handle sensitive information or situations with confidentiality, discretion, diplomacy and good judgment
  • Ability to work and think independently with the ability to analyze and solve complex problems with excellent judgment and provide high quality work with attention to detail
  • In depth knowledge of company internal systems, policies and procedures
  • Must be proficient in Microsoft Office, Outlook, Concur, Purchasing systems and WorkDay
