
Faculty, Curriculum, and Programs Clerk
Columbia State is hiring two Faculty, Curriculum and Programs Clerks who will work together to provide comprehensive administrative support to the Faculty, Curriculum and Programs department.
Functions Supporting Department and Full-Time Faculty:
- Provide general secretarial and administrative support for the department.
- Maintain appointment calendars, office files, records and supply inventory.
- Assist with processes and procedures specific to the department.
- Coordinate correspondence to other departments.
- Serve as a contact person for the department.
- Maintain files for the department.
- Create documentation and verify reports for Academic Program Review/Audit and site visits.
- Maintain curriculum change requests and post to SharePoint for availability to the Curriculum Committee.
- Maintain Charger Core Assessment forms and committee documents and post to SharePoint for availability to the committee.
- Coordinate Student Engagement/Participation Verification.
- Coordinate student evaluation of faculty processes and serve as a contact for students with questions concerning this process.
- Maintain the office and provide customer support for students and faculty.
- Maintain the Faculty & Programs email.
- Efficiently operate a personal computer and associated software (Outlook, Access, Word, Excel, etc.) and Student Information System accurately and effectively.
- Maintain Academic & Professional Preparation forms for faculty.
- Maintain Intent to Apply for Promotion & Tenure files for faculty.
- Maintain the faculty handbooks (full and part-time)
- Compile payroll data for overload and course enrollment stipends for part-time/full-time faculty.
Functions Supporting Part-Time Faculty:
- Monitor part-time faculty application pools in PageUp.
- Send updates of part-time faculty information and online orientation to the Communications Office to post in the myChargerNet portal.
- Assist and support the part-time faculty orientation process.
- Collect human resources forms for part-time faculty (W-4, direct deposit, I-9, employee information, TCRS, Alternate Work Arrangement, salary agreements)
- Work with the Information Technology department to create, activate, and deactivate PVT’s for part-time faculty.
- Coordinate scanning, indexing, and disposal of part-time faculty employment documents.
- Create part-time faculty contracts in Self-Service Banner, and dual service and personal service agreements.
- Calculate and verify part-time faculty travel stipends and payroll summary sheets, communicating corrections to the divisions.
- Coordinate with and enter payroll related data for part-time faculty for the payroll department.
- Maintain personnel files for all part-time faculty (active or inactive status).
- Communicate with part-time faculty to collect contract acknowledgements, required forms, transcripts, student grades, and Student Engagement/Participating Verification
- Maintain the Access database for part-time faculty and create queries/reports as needed.
Supplemental Functions
- Work with college personnel with various questions and problems.
- Provide good customer service to students, college employees, and the community served by the College.
- Perform other work-related duties as assigned.
- Handle multiple tasks simultaneously
- Ability to use sound judgment in working with people and in decision-making.
Education, Training and Experience Required
High school diploma or equivalent and four years administrative support experience
OR
Associates degree and two years administrative support experience
Knowledge, Skills, Abilities, and Worker Characteristics
- Ability to communicate effectively in written and spoken English.
- Ability to relate to diverse faculty, staff, and students.
- Experience with Microsoft Office and publishing software.
- Excellent organizational and office management skills including ability to prioritize tasks.
- Good interpersonal skills including tact and diplomacy.
- Knowledge of college programs, policies, and procedures.
Working Conditions
- Normal sitting, walking, standing (for filing), lifting, reaching, bending for office environment.
- Near continuous use of computer during document preparation times.

Hiring Salary Range: $32,000-$38,380
This position is based at the Columbia, TN Campus.
