Finance Coordinator

Posting Description

Habitat is looking for a Financial Coordinator, for our National Office in Trinidad and Tobago. The position will be hired directly with HFH TT on a local contract under Trinidad and Tobago labor law.

Essential Duties and Responsibilities:
1. Finance and Accounting

* To be responsible for the staff and activities of the Finance Department
* Management and approval of the NO’s budget processes, the annual POA for submission to management
* Review, approve and sign off financial project reports (as checked with system details) by individual donors and present to manager
* Manage the Cash Flow of the NO ensuring liquidity of the organization
* Maintenance of bank account (Daily)
* Financial Analysis
* Review of Payroll including Payroll & Inventory & reconciling
* Review and approve budget project proposals and present to manager
* Prepare & send Mortgage Statements to Homeowners
* Entry of mortgage sales and payments
* To ensure that bank, donor and HFHI reconciliation is completed monthly
* To review coding of the General Ledger and manage input into SUN system
* To manage delinquency process, review works done by anyone assigned to support the mortgage process and update sheets from data provided
* To send unallocated listing to bank and follow up
* To review asset listing and inventory
* To prepare invoices for Resource Development if and when required
* Coordination of HFHI External and Internal Audits when scheduled
* To review the audit process and make recommendations to upgrade processes to improve the audit outcomes
* To review payments on a timely basis and ensure that they are all within approved budgets and entered into system, with weekly reviews of bank statement against C-Flow
* To prepare in collaboration with Designated Team the annual forecast and supporting documents are prepared by * December of each year
* To review the half yearly performance against the annual forecast and provide recommendations for Team’s consideration
* To liaise with Finance Clerk to ensure that home partners mortgage database and subledger is updated and that delinquency listing and update sheets from data is provided
* Filing of source documents in their relevant places
* To assist with the follow up of subsidy application
* To prepare monthly financial statements and management accounts inclusive of all schedules, variance analysis and cash flow

Advise:
* To recommend delinquency reduction initiatives
* To recommend on expenditure reduction initiatives

Reports
* Prepare daily personal time sheets and monitor Finance staff timesheets
* Prepare personal workplans and monitor Finance staff workplans
* To prepare project financial reports for each project
* Preparation of any ad hoc financial reports
* Financial Reporting review and presentations for ND

Attend and Support
* To attend department and other general staff meetings
* To attend stakeholder meetings when required and support with the required financial data
* To attend virtual international meetings and trainings as and when required
* To be available to the Finance Committee of HFHTT

Other
* To uphold all safeguarding, ethics and relevant HFH policies in the execution of duties

* Any other related duty, which many be assigned from time to time in alignment with the achievement of the goals of the organisation

Minimum Required:
* At least five (5) CSEC passes inclusive of English 1 and Mathematics and/or Business
* ACCA Level 2 or a Diploma in Finance/Accounting
* Must have working knowledge of accounts
* At least 5 years working experience in a financial environment
* Strong skills in use of Microsoft Office, in particular Word, and EXCEL
* Must be familiar with QuickBooks/SUN (or similar) account systems
* Must have a keen attention to detail and accuracy in recording data and providing reports
* Must display a strong analytical, interpersonal, oral and written communication skills with a strong understanding of financial principles.
* Must have experience in data entry
* Ability to work independently and motivate self to achieve success
* Display capacity to learn in changing environment
* Mortgage Management will be an Asset

Preferred:
* At least 3 years of experience in a supervisory role
* Must have a passion for community service

Type of Contract: 6 months subject to renewal upon business needs.
