Position Purpose

Reporting directly to the Dealer Principal, the Office Administrator / Accountant supports the daily financial and administrative operations of Gulf Coast JCB.

Position Type: Full Time, Exempt.

Major Tasks, Responsibilities & Key Accountabilities

  • Process machine sales and record customer payments.
  • Prepare and process weekly deposits.
  • Review and process internal and external invoices.
  • Create and maintain vendor master data.
  • Prepare inventory reports.
  • Apply warranty credits and issue credit notes.
  • Maintain and reconcile accounts receivable and balance sheet accounts.
  • Maintain fixed asset ledger.
  • Perform month-end closing functions including journal entries and GL reconciliations.

Accounts Receivable

  • Daily posting of cash, check, and bank transactions.
  • Post daily credit card payments.
  • Research mismatches and resolve discrepancies.
  • Perform AR-related GL reconciliations.
  • Manage collections.
  • Set up new customer accounts and verify credit.

Accounts Payable

  • Ensure timely payment of invoices.
  • Prepare ACH and check payments.
  • Process quarterly sales tax filings and reconciliations.
  • Set up new vendors.
  • Process DTS credits and reconciliations.
  • Maintain JCB parts invoice tracker.
  • Reconcile parts accruals.

Invoicing

  • Create and process invoices for parts, service, machines, and work orders.

Month-End Duties

  • Post journals.
  • Complete AR, AP, GL, and fixed-asset closings.
  • Reconcile fixed assets and schedules.

Banking

  • Post daily credit card payments.
  • Manage postings and reconcile deposits.
  • Make physical bank deposits as required.

Warranty

  • Post warranty credit notes and reconcile discrepancies.

General Administrative Responsibilities

  • Provide administrative support to the Dealer Principal and team.
  • Maintain organized, accurate files and documentation.

Essential Qualifications

  • Bachelor’s degree in Accounting or related field.
  • Minimum 3+ years of experience in a dealership, equipment, distribution, or manufacturing environment.

Knowledge, Skills & Competencies

  • Experience with CDK Global preferred.
  • Strong analytical and problem-solving skills.
  • Excellent organizational skills.
  • High attention to detail and accuracy.
  • Proficient in Microsoft Office, especially Excel.
  • Strong communication skills.
  • Bilingual (English/Spanish) a plus.
