Our primary role is to disseminate accurate and timely reports to management and external stakeholders. These reports play an important part in educating stakeholders about the University's financial standing and allows them to make informed decisions. A valid driver's license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.Purpose of PositionSummary: Manages and coordinates activities of personnel involved in performing internal and external operations, primarily responsible for providing supervisory, administrative, and technical skills necessary to manage the activities of an inventory team. Responsible for maintaining records concerning all permanent movable equipment in University buildings and facilities. Must comply with all operating policies and procedures concerning warehouse operations. Must possess a valid driver's license issued by the State where the applicant resides and must be insurable as defined in the UT System BPM 16-05-02, as applicable to the performance of essential duties and responsibilities of the position.Statement of Duties and Responsibilities:• Manages the day-to-day operations of the department.• Direct employee training and mentoring to improve efficiency and ensure conformance to standard procedures and practices. Analyzes and resolves departmental and external problems; implements measures to improve processes and to motivate workers.• Works with the Accounting department on analysis of entries to the Assets module.• Works with Department representatives to set up appointments, research inventory discrepancies, and promote compliance with University, UT System, State, and Federal guidelines• Provides training to other departments as needed.• Schedules and directs the work of personnel assigned to his/her section.• Checks incoming shipments and payment vouchers for equipment to determine if item(s) should be classified as a permanent asset or a controlled asset, per the State's guidelines.• Records the receipt of permanent movable equipment.• Supervises the assignment and attachment of Inventory Numbers and Tags.• Supplies information for compilation of Inventory Reports.• Plans and coordinates the yearly physical inventories, and coordinates with department officials in verifying inventory location and reports.• Establishes and maintains communication channels with department officials at all levels on the campus.• Maintains and updates the University's asset database and coordinates with Facilities to record asset transfers to the Surplus Property Program.• Performs related duties as required. Responsible for the design, execution, and effectiveness of a system of internal controls that provides reasonable assurance that operations are effective and efficient, assets are safeguarded, financial information is reliable, and applicable laws, regulations, policies, and procedures are complied with.• Prepares a variety of Inventory Reports concerning his/her department.• Conducts special site inventories of equipment as required by applicable directives.• Communicates on a daily basis with various campus departments to resolve any questions or problems that may arise.• Writes performance reports on assigned personnel.• Assists with the training of staff and student-employees.• Operates within approved budget and gives input for future budget requirements.• Knowledge of Microsoft Office's Excel and Word software.• Able to learn and use institutional software systems, including PeopleSoft and AssetWorks.• Excellent verbal and writing communication skills• Performs other duties that may be assigned.• Complies with all State and University policies.Supervisory Responsibilities Carries out supervisory responsibilities in accordance with the organization's objectives, policies, and applicable laws.QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
