Castle Biosciences Inc. is growing, and we are looking to hire a Conference Administrator working from our Friendswood, TX office, with a start date of November 1, 2025.

A DAY IN THE LIFE OF A Conference Administrator

A typical day in this role involves coordinating speaker schedules and deadlines for national and regional conferences, ensuring timely submission of materials such as decks and titles, and serving as the liaison between speakers and internal teams. The day also includes managing product theater logistics-overseeing AV, catering, signage, and room setup-while maintaining timelines, ensuring vendor and venue compliance, and collaborating with Medical Affairs for content alignment. Project management plays a central role, with responsibilities that include maintaining Monday.com boards to track conference workflows, centralizing activities to ensure cross-team visibility, and uploading contracts to Media Lab in compliance with company standards. Financial and shipping management are also key, with tasks such as tracking and reporting accruals for conferences and advisory boards, submitting invoices, and managing FedEx shipments. In addition, this role supports marketing and campaign execution by creating and managing Salesforce campaigns and HubSpot event pages, handling RSVPs, and coordinating with Marketing Operations. Above all, the position emphasizes maintaining centralized administrative organization of all conference details to ensure cross-departmental visibility and alignment.

QUALIFICATIONS

  • Strong coordination skills with experience managing multiple speaker schedules and deadlines across diverse stakeholders, ensuring timely submission of materials for national and regional conferences.
  • Proven ability to oversee event logistics, including AV, catering, signage, and room setup, while ensuring vendor/venue compliance and alignment with Medical Affairs.
  • Proficiency with project management platforms, including maintaining workflows and centralizing activities in Monday.com, as well as managing compliance-related documentation (e.g., Media Lab).
  • Intermediate to advanced Excel skills, with the ability to perform V-lookups, cross-reference data across multiple platforms, and apply financial tracking to accruals, invoices, and shipments.
  • Experience with marketing and CRM tools, including creating Salesforce campaigns, managing HubSpot event pages, coordinating RSVPs, and collaborating with Marketing Operations.

TRAVEL

  • Limited travel - (3 Castle conferences a year)

SCHEDULE

  • On-site, Monday-Friday, 8 hours a day, with some evenings and weekends as needed. Position is based in Friendswood, TX.
