Job Summary
The Move Registrar oversees the audit and accountability of collections moved to the renovated RMS1 collections storage facility in Southborough, Mass. The incumbent is responsible for 100% inventory control in our Collections Management System (TMS) of collections at every step of the move, resolving collections identification and care questions, ensuring accountability for manifests, overseeing access to spaces and collections by project vendors, and arranging and communicating all collections move activities between CHSI, OPRP, and project staff. This position reports the CHSI’s Collections Manager and responds to parameters and timelines conveyed by CHSI’s Projects and Operations Manager. Over a term of 18 months surrounding the move project and working between collections storage sites, this position will coordinate move activities, access, and oversight between CHSI, OPRP, and external vendors completing the move.
This position works closely with the Collections Manager and the Projects and Operations Manager to provide direct project coordination, facilitation, and oversight for a project to move nearly 20,000 objects of nationally and internationally-recognized collection of historical scientific instruments. The incumbent is responsible for the accurate accounting of object inventory during the course of the move, for ensuring proper handling and security for collections while working with project vendors, and for ensuring accounted movement of all collections. This position will work closely with project vendors and facilities partners to ensure smooth operation of the project and transparent communication of project milestones and challenges.
Position Description
Collections Registration
- With CHSI Collections Manager, sets and documents standards for collections audit and inventory control for the RMS1 Move Project.
- Provides training and documentation of inventory standards to RMS1 Move Project vendors.
- Verifies inventory Quality Control for RMS1 Move Project
- Ensures 100% accountability of all collections during and at every stage of RMS1 Move project.
- Serves as primary collections Point of Contact to RMS1 Move Project art handlers with respect to resolving collections identification questions.
- Ensures the timely resolution of object identification challenges and ensures continuous handling and move operations.
Collection Management
- Serves as primary POC to RMS1 Move Project art handlers with respect to resolving handling and packing questions.
- Coordinates evaluation of handling and packing challenges with CHSI Collections Manager and Curatorial Assistant.
- Provides direct daily access to secured CHSI Collections storage spaces for RMS1 Move Project vendors, maintain appropriate secure access to restricted spaces at all times.
- With Collections Manager, plans and sequences the move of collections and their arrangement in the RMS1 collections storage facility.
- With the Collections Manager and Curator, validates the list of materials to be moved in the RMS1 Move Project.
Information Management
- Ensures complete, correct, and timely entry of all collections inventory information into the CHSI Collections Management System (TMS.)
- Ensures appropriate documentation and timely authorization of all collections move documentation.
Communication
- Validates weekly inventory project updates from RMS1 Move Project vendors and submits them to CHSI supervisor.
- Drafts and confirms authorization by CHSI leadership of all collections move receipts.
- Coordinates, schedules, and communicates all loading dock, facility access, and other move related logistics with appropriate Harvard and Columbia Circle staff.
- Advises RMS1 Move Project vendors of CHSI Collections Policies, Safety procedures, and Hazardous Collections handling notes.
Basic Qualifications
Bachelor’s degree and 3 years experience managing the care and documentation of cultural heritage collections (museums, libraries, archives, etc.). Must have experience with collections inventory or audit.
Additional Qualifications and Skills
Previous experience handling complicated logistical collections projects, in particular a collections move. Able to collaborate successfully with a variety of stakeholders, provide direction to vendors and draft basic collections operating procedures. Strong written and verbal communication skills. Experience with the TMS collections management system strongly preferred. Applicant should demonstrate exceptional attention to detail, discretion, honesty, and ethical conduct.
Certificates and Licenses
A valid driver's license is needed for this role.
Physical Requirements
Work is primarily standing at a mobile work station. Incumbent regularly handles and moves museum collections. This can include: lifting items, pushing and pulling cart with items, pushing and pulling crates, opening and closing crates and exhibition cases. Will include considerable work at a computer, entering data related to the collections move.
Working Conditions
Primarily museum collections storage setting. Includes loading docks, adjacent to moving trucks, and working between university owned and rented storage facilities. Over the course of the project, incumbent should expect as much as 60% of time is spent at off-campus storage sites (in Merrimack, NH and Southborough, MA.)

This is an 18-month term position without possibility of renewal.

This position is based primarily on-campus, in Massachusetts. This may include in-person during emergency situations (if applicable). Additional details will be discussed during the interview process. Certain visa types may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
