Job Summary

The Office Associate for the Dublin Center provides general administrative, clerical, and project management support for the department and division. This role utilizes basic or advanced office and research skills, depending upon position assignment and skill level demands. The incumbent is typically assigned to work within a given department and therefore assumes responsibility for administrative, clerical, and support tasks specific to the assignment. This position also supports the academic functions of the faculty, staff, department, and leadership team.

ESSENTIAL JOB FUNCTIONS

Clerical

  • Provides administrative and clerical support to the Dublin Regional Learning Center leadership, faculty, and staff. May be required to support faculty, staff, and leadership at the Delaware Campus based on operational need. Sets up, maintain, and organizes a filing system that is virtual and physical. Completes and processes forms, records, faculty handbook, and other documents in accordance with established procedures. Updates faculty mailboxes as needed. Organizes the ordering and storing of supplies to support academic and administrative functions in compliance with College policy.
  • Assists with scheduling meetings, including invitations, parking passes, and room scheduling as required. Works with the Dublin RLC and Delaware Campus administrative team to ensure location webpages are current and updated. Assists with special events by coordinating rooms and partnering with other departments to ensure successful set-up and execution of special events.
  • Maintains confidential or sensitive records and information. Manages departmental data by retrieving, tracking, and compiling data reports. Initiate work orders such as housekeeping, general maintenance, etc. and follow through to completion.

Customer Service

  • Provides customer services for the Dublin RLC to students, the general public, faculty and staff and others by furnishing and obtaining information; resolving routine problems; assisting with procedures, processes and requirements; and performing other customer service responsibilities, as necessary. May be required to provide customer service support for the Delaware Campus based on operational need.
  • Greets and routes visitors, students, faculty, staff, and other administrators to the appropriate place. Answers phones, routes calls and takes messages, providing general information to callers. Furnishes and obtains information to resolve issues in coordination with the departmental leadership team.
  • Supports the Regional Learning Center and Delaware Campus team members by helping complete departmental projects as required. Resolves internal and external customer inquiries, redirecting questions as needed. Responds to questions and communicates with faculty and staff regarding messages and student questions in a timely manner.

Financial

  • Monitors the program budget accounts and informs the faculty on the amounts left in the accounts, as needed.

MINIMUM EDUCATION AND EXPERIENCE REQUIRED

  • High School Diploma or GED.
  • One (1) year of experience in a customer service position.
  • State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
  • *An appropriate combination of education, training, coursework, and experience may qualify a candidate.
