Position Summary

We are looking for an experienced and dynamic Office Manager to lead the day-to-day operations of our OB/GYN practice. This role provides leadership to our administrative and clinical support teams, ensuring efficient clinic operations, high patient satisfaction, and a collaborative work environment. The ideal candidate is a strategic problem-solver with a strong background in healthcare management who is committed to patient-centered care and continuous operational improvement.

Key Responsibilities

Leadership & Staff Management

  • Lead, supervise, and support administrative, clinical, and front office teams to ensure peak performance
  • Oversee the full lifecycle of staff employment, including recruitment, hiring, onboarding, and training in coordination with HR
  • Conduct performance evaluations (90-day, annual, and corrective action reviews)
  • Provide coaching, mentoring, and performance feedback to foster professional development
  • Maintain a positive, respectful, and engaging work environment to support staff retention

Scheduling & Operations

  • Manage staffing schedules to ensure appropriate coverage and efficient clinic operations
  • Review and approve time-off requests, overtime, and payroll documentation
  • Identify and resolve workflow inefficiencies and patient service concerns
  • Monitor clinic supplies, manage vendor relationships, and ensure equipment is well-maintained
  • Serve as the primary point of contact for patient concern escalations, ensuring professional resolution

Compliance & Quality Improvement

  • Ensure strict adherence to HIPAA, OSHA, CLIA, and other regulatory standards
  • Track staff certifications and monitor compliance with organizational policies
  • Support Value-Based Care initiatives and quality improvement projects to enhance patient outcomes
  • Analyze operational metrics to identify trends and areas for improvement
  • Collaborate with clinical leadership to align administrative and clinical goals

Qualifications

  • High school diploma or equivalent required (Associate or Bachelor’s degree in Healthcare Administration or Business preferred)
  • Minimum of 2 years of supervisory or leadership experience in a healthcare or medical office setting required
  • Previous medical office experience required; OB/GYN experience strongly preferred
  • Proficiency with Electronic Health Records (EHR), scheduling platforms, and Microsoft Office Suite
  • Knowledge of healthcare compliance (HIPAA, OSHA, CLIA) and employment practices
