Job Description:

The COL Assistant Registrar works under the Registrar to oversee the academic records of current and former COL students. Duties include, but are not limited to, student record management, enrollment and degree verifications, status changes and processing and posting grades. The Assistant Registrar also serves as Disabilities Coordinator and a VA certifying official.

Principal Duties:

  • Annually review COL Academic Catalog for updates and changes for next academic year
  • Link relevant documents to students’ digital files
  • Under the guidance of the COL Registrar, post mid-term, final and In-Progress grades
  • Assist with course registration, including internship registration
  • Assist with providing data for the State Bar Annual report
  • Process manual registrations, add/drop forms, withdrawals or other student status changes, and maintain digital student files. Monitor and process email correspondence sent to the Office of the Registrar
  • Assist with enrollment of Re-Entry, transfer students, Students-at-Large, and conditionally admitted students.
  • Process transcript requests for current and former students
  • Assist the Registrar with duties such as enrollment verifications, contingency management, degree audits, and general student record maintenance and security as needed.
  • Assist in review of the monthly Clearinghouse reports used for reporting to the National Student Loan Data System
  • Under the guidance of the COL Registrar post degree and certificate conferrals and concentrations and advise students of grades and provide descending order grade listings to students.
  • Manage Satisfactory Academic Progress audits for the master’s degree program and notify and provide counseling to students on probation or subject to academic ramifications.
  • Assist in the administration of examinations.
  • Regularly review student forms for posting on student Gateway Registrar page and Employee Intranet. Assist with periodic review and updating of Gateway and Intranet information.
  • Working closely with students who wish to apply for Disability Accommodations to provide counseling on accommodations policy and procedures
  • Act as a resource to COL staff and faculty members on school policies, such as admissions policies, grading policies, grade changes, and incomplete grades
  • Work closely with all COL team members. Assist in setting and achieving individual, team and institutional goals.

Required Skills/Abilities:

  • Bachelor’s degree preferred
  • Experience and proficiency in Campus Nexus, use of Microsoft Word, Excel and PowerPoint, Perceptive Content scanning technology, ExamSoft examination software
  • Willingness to periodically travel between campuses and to attend events for students and prospective students, some evenings and weekends
  • Ability to track multiple simultaneous projects
  • Be an enthusiastic and professional representative of COL to all the school’s constituents
  • Possess excellent communication skills and ability to work effectively as a team member
  • Exhibit superior customer service, critical thinking, problem solving, and attention to detail skills
