Job Synopsis

The Payroll & Benefits Coordinator plays a central role in ensuring MCC’s U.S. payroll, benefits, and worker care functions run smoothly and accurately. Serving as the primary U.S. payroll administrator, this position conducts biweekly payroll processing, maintains compliance, and partners closely with HR and Finance to ensure all adjustments are correctly captured. In addition, the coordinator provides vital administrative and data support for benefits processes and the broader Worker Care team of the HR department, helping to ensure timely documentation, strong data integrity, and smooth operations, all of which collectively serve and support MCC staff.

This is a 30 hour/week hybrid position. Mondays and Wednesdays are required full days in the office.

Essential:

  • High school diploma with 1-3 years of experience in an administrative support, payroll, benefits or similar environment
  • Strong organization skills and an exceptional attention to detail
  • Strong interpersonal, collaboration, and relationship building skills
  • Ability to work independently and in collaborative team environments
  • Experience using Word, Excel, and Outlook
  • Ability to hold sensitive information in strict confidence
  • Strong technical skills and demonstrated ability to navigate and support a database
  • Employment eligibility: Legally eligible to work in the U.S. MCC offers of employment are subject to a successful criminal background check(s).

Preferred:

  • Prior experience with HR or similar administrative databases is a plus (Salesforce, Sage, ADP, or similar)
  • Prior experience working for a non-profit organization is a plus

Key Responsibilities

Specific tasks and duties: Payroll Administration (60%), Benefits Support (25%), Administrative (15%)

Payroll: (60%)

  • Serve as the primary U.S. Payroll Administrator, including processing payroll biweekly in an accurate and timely manner that is compliant with all applicable laws
  • Collaborate across HR and Finance teams to ensure smooth payroll processing between the two departments and confirm all relevant payroll adjustments are notated and accurately processed
  • Collaborate across different HR and Finance functions to create, review, audit, and troubleshoot HRIS pay flow reports to ensure accurate capture and pulling of data
  • Create and update payroll and benefits-related records for all MCC-US staff
  • Maintain timely and accurate payroll records and conduct regular audits

Benefits & HRIS Coordination: (25%)

  • Support the Worker Care Manager in processing and documenting benefit information.
  • Process monthly benefits premiums and related billing for all group plans
  • Keep a pulse on potential process improvements and recommend to the Worker Care Manager and Worker Care team as appropriate
  • Ensure the accuracy of all benefits enrollment data in the HRIS
  • Assist staff and managers with benefits questions
  • Serve as an HRIS superuser and participate in monthly HRIS superuser meetings

Administrative: (15%)

  • Serve as a point of contact for worker care staff inquiries
  • Provide administrative support at key times of the year, including open enrollment
  • Document staff needs/inquiries and pass along to worker care or broader HR staff
  • Coordinate onboarding documentation and compliance, including processing and filing I-9 documentation, W-4 forms, and local tax forms
  • Process paperwork for new hires, including benefits enrollment and other forms
  • Provide other support to the worker care team as requested
  • Participate in HR network, Worker Care team, and other meetings
  • Other duties as assigned on a temporary basis

SUPERVISION: No direct supervisory responsibilities

TRAVEL EXPECTATIONS: Minimal, travel up to 5%

PHYSICAL ACTIVITY/DEMANDS: Occasionally ascending or descending stairs/ladders or the like. Constantly remaining in a stationary position, often standing or sitting for prolonged periods of time. Occasionally moving about to accomplish tasks or move from one worksite to another. Occasionally light work that includes moving objects up to 20 pounds. Constantly repeating motions that may include the wrists, hands, and/or fingers. Constantly assessing the accuracy, neatness, and thoroughness of work assigned.

Salary Details

Base salary: $22.51. Starting salary may be adjusted up to $25.01 based on previous experience.

Medical, dental and vision coverage as well as 23 days paid vacation, sick time and 10 holidays/year pro-rated for FTE. Life insurance provided, as well as long and short term disability coverage. The retirement plan, with MCC contribution of 7%, begins after six months of employment.
