The Oregon Health Authority (OHA), Public Health Division (PHD), Office of the State Public Health Director Section is recruiting for two Management Support Specialists (ESS2). These positions provide high-level, confidential executive administrative support to the Public Health Division (PHD) Leadership Team. They play a key role in coordinating special projects that assist leadership in preparing for meetings, presentations, travel, and in tracking and resolving issues across the Division.

The role is responsible for managing the flow of written and verbal communication between the PHD Leadership Team and internal and external stakeholders. It ensures the timely and accurate preparation of materials essential for informed decision-making. Responsibilities include managing calendar requests, developing meeting agendas, and executing short-term special projects on behalf of the Office of the State Public Health Director. Additionally, this position serves as a central resource and administrative problem-solver for staff at all levels within the Office of the Public Health Director and with external partners.

This recruitment will be utilized to hire two Full-Time, Limited Duration positions (12 months).

What We Are Looking For

Minimum Qualifications: These qualifications must be visible in your application for consideration.

  • One year of experience performing administrative duties in support of agency projects or programs.

Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.

  • Provide high-level administrative support to the PHD Leadership Team, including managing calendars, scheduling meetings, and preparing materials.
  • Participate in leadership and management meetings; track assignments and follow up on deliverables across the division.
  • Develop, update, and implement administrative procedures in alignment with agency policies and applicable laws.
  • Draft responses and provide guidance on sensitive topics such as HR policies, administrative rules, and legal interpretations.
  • Coordinate meeting logistics, including agenda planning, presenter coordination, room setup, and note-taking.
  • Manage correspondence and file maintenance for the Public Health Leadership Team.
  • Support OSPHD staff with general office needs, including equipment requests, facility work orders, and customer service.
  • Maintain and update internal and public-facing web content in collaboration with subject matter experts

Preference Statement: Preference will be given to candidates possessing more years of experience and meeting more of the desired attributes.

  • The salary listed is the non-PERS qualifying salary range. If the successful candidate is PERS qualifying, the salary range will reflect the additional 6.95%. Review the Classification and Compensation page for more details on the classification.
