ABOUT THE ROLE:
Lexitas is seeking a detail-driven and highly organized Process Server Coordinator to support our fast-paced legal services operations. In this role, you’ll play a critical part in ensuring the accurate processing and completion of legal service requests, including subpoenas, affidavits, notarizations, and proofs of service. This position is ideal for someone who thrives in a goal-oriented environment, enjoys working with data and legal documentation, and understands that precision and follow-through are essential. While some tasks may be repetitive, the information you handle directly supports attorneys, clients, and court operations nationwide.

KEY RESPONSIBILITIES:
- Communicate daily with attorneys and paralegals to coordinate service of process requests.
- Maintain ongoing client communication via Outlook to build and strengthen professional relationships.
- Accurately enter case and defendant information into the MR8 database.
- Utilize online resources (e.g., NAPPS) to locate certified process servers in assigned jurisdictions.
- Coordinate with process servers to ensure timely and proper service completion.
- Email legal documents to process servers and follow up via phone or status checks as needed.
- Sort, scan, and upload Proofs of Service received via first-class mail into MR8.
- E-file Proofs of Service through TXcourts.gov when required.
- Prepare invoices and send legal documents to clients via FedEx.
- Issue checks as requested and process billing-related tasks.
- Coordinate notarization requests, including locating notaries through 123Notary.
- Provide notaries with detailed instructions, documents, and return shipping labels.
- Review completed notarized documents to ensure accuracy and completeness.
- Immediately bill and return original documents to clients.
- Safeguard confidential medical and legal records, ensuring full compliance with HIPAA and all applicable local, state, and federal regulations.
- Support managers, expeditors, and billing teams to maintain data accuracy and workflow efficiency.
- Perform other duties as assigned to support departmental operations.

- Ability to operate standard office equipment including scanners, copiers, and fax machines.
- Typing proficiency of at least 38 WPM.
- Flexibility to work occasional overtime as business needs require.
- Excellent attendance, punctuality, and reliability.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Familiarity with subpoenas, affidavits, and written depositions is a plus.
QUALIFICATIONS:
- High school diploma or equivalent required.
- Minimum two years of administrative or data entry experience required.
- Legal terminology knowledge preferred.
- Notary Public certification preferred but not required.
- Demonstrated ability to handle confidential information with professionalism and discretion.
- Proven team-player mindset with a commitment to operational excellence and continuous improvement.
SUPERVISORY RESPONSIBILITIES
This role is not a supervisor position.
LANGUAGE SKILLS
Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
