Harvard University Housing & Real Estate
Harvard University Housing & Real Estate (HUHRE) is a department within Harvard Campus Services, a multi-department organization within Harvard’s Central Administration. HUHRE supports the University’s educational and research efforts by offering Harvard affiliates a wide array of housing and real estate services in University-owned properties which are conveniently located, competitively priced, and professionally managed to residents and tenants alike. HUHRE serves as the asset manager for Harvard’s portfolio of commercial spaces and centrally stewarded institutional assets, overseeing the leasing and operations of University-owned institutional space for Harvard affiliates and commercial spaces for rent by private retail tenants within the Cambridge, and Greater Boston area.
HUHRE manages a broad range of initiatives and assets to help support the Harvard community. These include, but are not limited to:
- Leasing, managing, and renewing Harvard-owned housing as well as Harvard offices/institutional spaces, and commercial real estate portfolios
- Leading community engagement and programming opportunities
- Managing relationships with external partners and vendors
- Working within the larger University community to develop and coordinate University-wide policies and strategies
- Supporting new University housing and real estate development projects across the Cambridge and Greater Boston area

Department Summary
The Graduate Commons Program serves 3500 units and approximately 5900 residents across the entire Harvard University Housing portfolio. The inclusion of virtual programming and need for extensive resident support has also given way to a more complex and learning organization aimed at providing a quality experience for our residents.
Job Description
Reporting to the GCP Associate Director, the Program Coordinator (PC) works under the supervision of a Program Manager and is responsible for the support of the PM’s planning and curriculums. The PC executes programmatic plans that promote resident success and interaction through academic, career, social, and service focused events. Events will enhance co-curricular learning, develop a strong sense of community and promote resident wellbeing, and the goals of the Graduate Commons as designed by the leadership of the Graduate Commons Program.
The Program Coordinator acts as the first point of contact for the Graduate Commons Program area via email, phone, and in person if needed. They also support the area through administrative tasks including room reservation processing, financial processing, and both social media and newsletter content creation.
This is a live-on position without on-call responsibilities; however, crisis response and management will be required as needed. Attendance at evening/weekend events and training is essential for success of the overall program.
Job-Specific Responsibilities
Administrative/Programming Support:
- Coordinate and host events for the larger Graduate Commons community;
- Support and motivate resident and community advisor staff;
- Support Program Manager efforts across the portfolio;
- Respond to student emergencies during business hours and escalate as needed;
- Develop connections with faculty, staff and students across the university;
- Communicate with Property Management Office regarding maintenance work orders and facilities requests;
- Coordinate programming in collaboration with Faculty Directors, Program Manager and Resident/Community Advisors;
- Assist with coordination of meetings, programs, and other programs for residents and groups;
- Operate and process all room reservations on the event calendar to ensure cohesion across the portfolio;
- Provide website and social media updates and support;
- Process and maintain financial records and records on program participation levels;
- Evaluate the effectiveness of programming efforts and adjust programming plan;
- Utilize appropriate communication tools and strategies to promote involvement in programs, including newsletter content creation;
- Act as first point of contact in emails, phone calls, etc. for GCP and support as needed;
- Participate in appropriate meetings and events across campus
HUH Collaboration:
- The PC will maintain a close relationship with both the HUH Operations and Leasing teams to ensure correct information is passed to residents, including policies and procedures, common room reservations, move-in and move-out information and any emergency notifications.
- Contribute to the overall success and growth of the Graduate Commons Program by performing all other duties as assigned.
Qualifications
Basic Qualifications
- Bachelor's Degree required
- Minimum of one year of experience in college student curriculum/programming, student services/events or student affairs; experience working with graduate student populations a plus
- Ability to move freely between properties
- Ability to lift 25 lbs to assist with event set up

- Excellent interpersonal skills.
- Demonstrated ability to maintain and establish positive working relationships.
- Possess high energy, excellent verbal and written communication skills, including public speaking.
- The ability to think critically, strong problem-solving skills, and a demonstrated ability to work. effectively and independently in a fast-paced, customer-service oriented environment.
- Demonstrated ability to take initiative, meet deadlines, and provide excellent customer service.
- Familiarity with MS Office systems and basic understanding of database and calendaring systems.

Work Format Details
This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
