This position manages a multitude of legal documents and facilitates notifications required for a dynamic corporate real estate portfolio of owned, leased, and franchised locations across 12 states. Facilitates a variety of property obligations including lease renewals, real estate tax payments, condemnations, Common Area Maintenance (CAM) charge reviews, appraisals, surplus property management, and dispositions, etc. Provides run the business guidance on all real estate matters which include interpretation of lease provisions for many cross-functional departments including but not limited to Enhancements (Remodel Team), Accounting, Risk, Marketing, and Operations. Responsibilities:
- Maintains the Property Management Database for third party and inter-company payable and receivable issues, as well as Surplus and Land Bank Properties in Workday.
- Monitors critical lease dates to provide information in a timely manner on leased properties available for renewal or closure to Real Estate and Operations for comprehensive feedback. Organizes feedback from field for presentation to Leadership for approval.
- Reviews and analyzes lease conditions, covenants & restrictions, easement agreements, shared cost agreements, and other legal documents for lease provisions in connection with property restrictions, condemnation, termination clauses, insurance requirements, or other lease provisions.
- Updates database to reflect changes in lessor/payee/address/terms/rent/overage calculations. Maintains and creates via MS Excel as necessary
- Audits CAM charges and landlord-billed tax charges.
- Monitors surplus property for maintenance and possible sale. Maintains Listing Agreement critical dates.
- Notifies appropriate parties of easement requests and/or condemnation issues.
- Communicates changes in lease terms or status to all affected parties.
- Maintains responsibility for facilitation of scheduled meetings for approval of business direction and strategy including lease renewals, purchase options, etc. Prepares presentation packages –both written and visual.
- Processes and delivers internal & external communications and calendars. Follows up in a proactive manner within a reasonable time until resolution is reached while being sensitive to deadlines.
- Maintains responsibility for management of property taxes, including processing and payment. Works with internal & external departments.
- Maintains responsibility for review and reconciliation of common area maintenance (or other shared costs) invoices, utilizing the ability to determine lease provisions and analyze documentation from billing party.
- Collaborates with outside parties and Whataburger to provide information to the legal department to process Estoppel certificates and Subordination, Non-Disturbance and Attornment Agreement (SNDA) in a timely fashion.
- Aligns with property acquisition to ensure smooth transition to property management. Reviews documentation, abstracts lease documents, sets up property in Workday, enters recurring base and additional rents for payment, and enters lease provisions, building, site, covenant, equipment information, and critical dates for reporting purposes.
- Reviews capital expenditure requests for property enhancements and approves if enhancement request is within the lease provisions. Otherwise, requests approval from the landlord by forwarding a copy of the enhancement scope and letter requesting approval.
- Communicates maintenance requests for corporate properties to technicians and follows-up to ensure customer satisfaction.
- Maintains responsibility for facilitation of maintenance activities with on-site staff. Responsible for follow up with customer until completion and satisfaction.
- Maintains responsibility for resolution of citations, violations, etc. from governmental entities. Must log and coordinate with internal & external departments until resolution.
- Collaborates with appropriate departments in order to properly close a unit.
- Reports monthly to senior management of changes in property management system.
- Generates initial Certificate of Insurance on new units and notifies Risk on additional requests, as needed, and requested.
- Assumes additional responsibilities as assigned.
Education:
- Bachelor’s degree or equivalent work experience required
Experience:
- Two years’ experience in property management or real estate preferred.
- 1 + years’ experience preferably in restaurant industry
Knowledge, Skills & Abilities:
- Proficiency in MS Office Word, Excel, Outlook, Power Point and Visio (as applicable)
- Proficiency in Workday (as applicable)
- Working knowledge of Google Earth Pro
- Proficiency in Property Management software preferred
- Ability to communicate well with the general public and experience in establishing and maintaining an effective working relationship with management, vendors, and co-workers
- Ability to work in a team environment
Working Conditions/Travel Requirements:
- Expected to work the necessary time to satisfactorily fulfill job responsibilities
- Must be able to report to work timely and as required by operational/business needs
- Must be able to work a full-time schedule and work outside of normal business hours when necessary
- Some travel, both locally and long distances, (including air travel), to worksites, meeting sites, and other locations may be necessary
