
Records Specialist Enrollment Services Operations
Job Summary
The Specialist, Enrollment Services Operations (ESO), is responsible for processing services throughout the student enrollment process. This role evaluates documents and executes processes which support the functions of student records and registration. The Specialist supports students and colleagues across the College by serving as content experts for their area and responding to issues directly related to enrollment services.ESSENTIAL JOB FUNCTIONS
Document Maintenance & Processing
- Processes high school and college transcripts, grades and records updates, high school articulation updates, prior learning assessments, tuition refund request/appeals process, and other record information.
- Maintains student records in required databases.
- Retrieves and manages documents and enters data into the appropriate systems.
- Examines and evaluates enrollment documents, determines acceptability, and investigates and resolves discrepancies.
- Accesses, interprets, and applies information related to policies and procedures. Adheres to Federal and State regulations and College practices and guidelines, to ensure institutional compliance.
- Displays technical competence working within the student information system, document management/workflow system, and other electronic tools.
Customer Service
- Provides comprehensive customer service to students, faculty, staff, and parents using expertise and experience in the specialized function.
- Answers office related questions and provides guidance or advice on department and campus policies and processes.
- Interfaces with College departments, higher education institutions and vendors, high schools, and other community entities, as needed.
- Serves as the primary point of contact for staff and faculty regarding issues directly related to ESO processes and responsibilities.
Clerical
- Maintains confidentiality of data and statistics of processes and student record information.
- Monitors office communications (phone, email, chat, etc.) to disperse or resolve inquiries.
- Contributes toward achieving the office goal of successfully servicing students.

OTHER DUTIES & RESPONSIBILITIES
- Attends all required departmental meetings and trainings.
- Hours may include working outside of a normal workweek schedule (occasional evenings/weekends) on an as-needed basis.
MINIMUM EDUCATION AND EXPERIENCE REQUIRED
- High School Diploma or GED.
- Three (3) years of clerical experience in admissions, transfer credit, registrar, or student services. *An appropriate combination of education, training, coursework, and experience may qualify a candidate.
