Job Description
Emerging Technology, Scientific Advancement, and Global Policy (ETSAGP) Fellowships
- Maintain ETSAGP Fellowship Calendar
- Compose and distribute weekly announcements.
- Schedule fellow journal clubs, research seminars, and all fellow meetings.
- Ensure that rooms and zoom meetings are on all meetings.
- Put research seminars into HKS HUB Events.
- Ensure ETSAGP-sponsored events are placed on the calendar
- Develop annual program of T&G Fellowship events and organize content of the events, social activities and celebrations, media training, and other activities as appropriate.
- Maintain records for all fellows, including Tech and Geo Fellows, Research Fellows, and Senior Fellows.
- Create and maintain a repository for offer letters, research plans, and other fellowship correspondence and documentation.
- Maintain list of all fellows’ key information, including dates of appointment, salary or stipend, and terms of employment.
- Manage all appointment paperwork for fellows
- Submit fellow appointment and renewal forms on time.
- Work with Belfer Center Fellowship Coordinator to ensure paperwork is submitted according to Belfer Center processes and timelines.
- Manage HR process to ensure that paperwork is processed in a timely fashion.
- Provide regular updates on HR issues and quickly identify any issues or delays to ETSAGP leadership.
Fellow and Senior Fellow Events
- Manage all Fellow events (T&G, Fellows, and Sr. Fellows)
- Schedule rooms & arrange catering as required.
- Ensure all events are listed in the Hub as early as possible.
- Coordinate salesforce campaigns, send out invitations, and track RSVPs.
- Manage any travel associated with fellow events.
- Work with Harvard travel to book flights and hotels.
- Communicate travel arrangements with attendees and speakers.
- Work with Belfer Center Comms on publicity and follow up.
Senior Fellows
- Manager Senior Fellow travel and calendars
- Manage all ETSAGP-related travel and travel reimbursements.
- Manage calendars for senior fellows.
- Support Senior Fellow Research Tasks
- Coordinate with RAs.
- Manage and track actions.
Qualifications
Basic Qualifications:
- Minimum 3 years of professional work experience managing complex programs and processes.
Additional Qualifications and Skills:
- Strong organizational skills with exceptional attention to detail and ability to manage multiple tasks simultaneously, follow-through with complex tasks and projects, track and meet deadlines, and work independently.
- Excellent communication skills, both written and verbal.
- Collaborative, flexible, and team-oriented mindset, with the ability to work effectively with cross-functional teams.
- Must have the ability to take initiative and demonstrate discretion with sensitive and confidential information.
- A proactive attitude, creative problem-solving skills, and the ability to adapt to changing priorities.
- Genuine interest in and knowledge of emerging technology and/or geopolitics.
- Knowledge or interest in science, international affairs, national security, and policy issues is desirable.
- Experience working with high-profile individuals from government, business, and/or academia is desirable.
- Proficiency in Microsoft Office Suite (Outlook,Word, Excel, PowerPoint) and Google Workspace.
- Proficiency with Salesforce and MarketingCloud.
- Proficiency with Zoom
- Bachelor's degree preferred.
- Higher education administrative experience preferred.
Additional Information
- Appointment End Date: This is a fully benefits-eligible term appointment ending one year from date of hire, with the possibility of renewal.
- Standard Hours/Schedule: 35 hours per week

- Pre-Employment Screening: Identity
- Working Conditions: This position may require occasional evening or weekend work to support programming. The role is based in Cambridge, MA with the expectation of on-site work at the Belfer Center. The Belfer Center and HKS support flexible work arrangements, including options for blending in-person and remote schedule pending in-person obligations. However, during the academic year the position requires in-person work at least four days per week. Travel may be required for off-site events, conferences, and engagements, as well as occasional evening and weekend work.
Work Format Details
This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
