Summary/Objective:
The Senior Coordinator provides essential administrative support to the Brand Creative team during the peak of awards season. This role is ideal for someone who thrives in a fast-paced environment and enjoys collaborating across teams to support creative initiatives.
Essential Functions of the Job:
- Gather from teams, partners, or databases the assets and specs necessary for the design team to accept project requests.
- Maintain an organized, creative server structure through which the team stores and accesses assets.
- Request, receive, and organize invoices for submission for payment.
- Review presentations from other teams and partners or create new presentations for those same groups.
- Schedule meetings within the team, across teams, and with partners or vendors as needed.
- Coordinate messenger services and make occasional local deliveries or pickups.
- Support administrative needs such as Academy Collections image requests, Resource Schedule form submissions, creating server folders, and populating project tickets with these server links, etc.
- Research products, services, or vendors related to creative projects and share suggestions with the team. Initiate contact with selected product, service, or vendor companies as requested.
Required Competencies:
- 1+ year professional administrative experience on a creative or marketing team.
- Intermediate proficiency in Microsoft Office Suite.
- First-hand experience with project management software (e.g., Airtable, JIRA, Trello).
- Familiarity with basic Adobe Photoshop functions.
- Ability to multitask, work quickly, and meet deadlines.
- Ability to work independently as well as collaboratively across teams.
Preferred Qualifications:
- A bachelor's degree is preferred but not required.
- Familiarity with basic Adobe InDesign and Illustrator functions.
- Passion, integrity, and curiosity.
- Highly organized.
Work Environment:
- At Academy: Open-air cubicle.
- At Museum: Open-air desk space in shared workroom.
Travel: Travel will be minimal (<5%) and only requested when messenger services are not feasible. In these rare cases, the Senior Coordinator may conduct small local deliveries or pickups of creative goods (e.g., posters, samples, prints).
Required Vaccination: Full vaccination against COVID-19 is required, including any booster vaccinations as applicable. Exception:Medical and religious accommodations approved by the Office of People & Culture.
Compensation: The expected salary range for this role is $24.00-$25.00 per hour. The actual base pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
