POSITION DETAILS
This is a full-time, 40 hour per week position on first shift. Schedule is Monday-Friday between 8:00am and 4:30pm.
In this position you will:
- Greet and assist visitors to Sessions Woods Wildlife Management Area Office (Burlington);
- Maintain inventory and ordering supplies and equipment as needed;
- Craft documents, including performing basic page setup, editing, and text formatting functions;
- Scan and electronically file or distribute documents;
- Process orders for licenses, magazine subscriptions, and other items;
- Process Conservation/Education Firearms Safety class results and prepare class materials needed by instructors;
- Assist various wildlife division programs with permit processing or license renewals;
- Manage requests for facility use and event scheduling as appropriate;
- Assisting staff with travel requisitions, fuel cards, and electronic toll passes;
- Collect and distribute mail.

The Wildlife Division is actively involved in conservation and management of all wildlife species and routinely works with a varied and diverse constituency ranging from hunters and anglers to students to governmental organizations and more.
Sessions Woods WMA focuses on conservation education, with facilities to bring school groups, the general public and natural resource professionals from throughout Connecticut and the region to participate in educational programs, demonstrations, and workshops pertaining to wildlife and natural resource management. These facilities include an education center with an exhibit area and a large meeting room, as well as interpretive trails, and habitat management demonstration sites. Sessions Woods WMA offers conservation education programs that use the expertise of Wildlife Division and other DEEP natural resource management staff. Staff may also be available, by appointment, to conduct group educational programs at the Center and to give technical assistance and professional advice to visitors on an individual basis.

PURPOSE OF JOB CLASS (NATURE OF WORK)
In a state agency this class is accountable for performing a full range of secretarial support functions.
EXAMPLES OF DUTIES
Performs a variety of secretarial duties as described in the following areas:
TYPING:- Using computers, tablets, and other electronic equipment, formats and types a full range of correspondence, reports, bills, drafts, etc. from rough draft, transcription, dictated notes, etc.;
- Proofreads for content;
- Edits using knowledge of grammar, punctuation and spelling.
FILING:- Designs office filing systems;
- Organizes and maintains files (including confidential files);
- Maintains, updates and reviews reference materials and manuals.
CORRESPONDENCE:- Composes routine letters/memoranda, etc. (e.g., standard replies and acknowledgement letters) for supervisor's signature.
REPORT WRITING:- Compiles information from standard sources and prepares data reports (e.g., number of forms processed during the month).
INTERPERSONAL:- Greets and directs visitors;
- Answers phones and takes messages;
- Answers questions requiring knowledge of terminology, organization, supervisor's responsibilities, etc. (e.g., appropriate referrals, general purpose of the unit).
PROCESSING:- Scans correspondence;
- Pulls and attaches related materials;
- Reviews, routes and prioritizes mail.
SECRETARY:- Arranges and coordinates meetings (including space and equipment);
- Writes minutes of meetings, lectures, conferences, etc. from rough draft;
- Takes notes and/or meeting minutes;
- Prepares expense accounts;
- Makes travel arrangements.
OFFICE MANAGEMENT:- Maintains an inventory of supplies and equipment;
- Orders supplies when necessary;
- Completes, processes, and maintains paperwork for purchasing (e.g., orders, requisitions, invoices, etc.);
- Maintains time and attendance records;

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE
Two (2) years of experience above the routine clerk level in office support or secretarial work.
MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED
College training in the secretarial sciences may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of one (1) year.
PREFERRED QUALIFICATIONS
- Experience with Microsoft Office 360 including, Excel, Outlook, Teams, and Word;
- Experience communicating in person, on the phone, and in writing with a variety of parties, including co-workers and the public.
- Experience working with confidential information, including social security numbers, Income information, and demographic information;
- Experience working with the public and providing customer service to both internal and external constituents;
- Experience multi-tasking in an office environment;
- Experience with wildlife, fisheries, forestry, or outdoor activities.
