Position Summary

The University of Southern Indiana seeks applications for a Senior Administrative Assistant in the Kinney College of Nursing and Health Professions. This role will provide administrative support for the the Radiologic Imaging Sciences program, the Diagnostic Medical Sonography program and the Respiratory Therapy program.

Duties/Responsibilities

  • Provide administrative support to the program chairs and faculty.

  • Provide receptionist service by greeting visitors, answering telephone, routing mail, and performing gatekeeping functions.

  • Purchase supplies for programs, including credit card use and reconciliation and ordering supplies through the university procurement system.

  • Collect and collate accreditation documents and curriculum documents, and provide assistance with program evaluation processes.

  • Assist in development, maintenance and improvement of student information systems by establishing files on new students; entering information in databases; compiling reports; preparing student lists.

  • Communicate with students to help resolve issues, problems and situations that may occur.

  • Provide support for program selection processes. Assist with course scheduling and coordinate section changes, room rescheduling and textbook orders.

  • Assist faculty in editing class syllabi and other teaching materials.

  • Provide information for budget development and implementation.

  • Help maintain program websites.

  • Maintain and track health documentation for student clinical rotations. Contribute to the update of student and faculty handbooks, student orientation documents and clinical documents.

  • Assist in organization of special events for students.

  • Field and answer oral and written inquiries about the programs.

  • Attend meetings and when appropriate, take minutes for distribution to faculty and future accreditation reviewers.

  • Work with other administrative assistants to support the needs of Kinney College.

Required Knowledge and Skills

  • High school diploma or GED.

  • Two years office or comparable work experience.

  • Experience with computers, spreadsheets, databases, and electronic mail.

  • Strong written and oral communication skills.

  • Strong organizational, interpersonal, and time management skills.

  • Strong customer service skills.

  • Strong attention to detail and the ability to multi-task.

  • Strong problem solving skills.

  • Ability to be flexible and the willingness to learn new responsibilities in a short time.

  • Ability to work in a team environment and the flexibility to move from one project to another.

  • Ability to work cooperatively with a diverse group of internal and external individuals.


Preferred Knowledge and Skills

  • College degree or some college coursework.

  • Knowledge of Banner and Blackboard technologies and webpage maintenance.


Regular Work Hours/Travel Requirements

  • Standard work hours are Monday through Friday, 8:00am – 4:30pm.
  • Hours may be adjusted for program/center coverage needs. An occasional change in schedule and/or overtime may be required.
