Summary/Objective:

The Senior Coordinator is responsible for organizing and maintaining a high volume of administrative tasks to support the operations of the Academy Theaters department. This includes assisting the Vice President with scheduling, preparing documentation, processing invoices, and conducting project research to support the success of all screenings and events across the Academy’s four theaters.


Essential Functions of the Job:

  • Coordinate the Vice President's calendar and event schedules across venues.
  • Manage and organize all documentation, paperwork, and online resources.
  • Help prepare invoices, reimbursements, and billing materials for the VP’s review.
  • Conduct necessary research on behalf of the VP to support immediate and long-term projects.
  • Manage guest lists for Academy Membership screenings.
  • Troubleshoot and maintain equipment necessary for department staff operations.
  • Communicate with internal departments on logistical details for Academy Theater events.
  • Attend site walkthroughs and meetings, and document necessary information for internal departmental needs.
  • Occasionally assist other Academy Theater leaders on important departmental projects.
  • When necessary, supervise theater staff during Academy Membership or Film Program screenings.

Required Competencies:

  • A high school diploma or equivalent certificate of completion is required.
  • Minimum of 3 years of administrative or coordination experience.
  • Experience communicating and cooperating with guests, supervisors, peers, vendors, or partners.
  • Experience with scheduling software and administrative software (e.g., Microsoft Office, Air Table, Dropbox, Outlook, When I Work).
  • Experience in maintaining a high level of professionalism.
  • Ability to communicate clearly and professionally via email.
  • Proven ability to work independently and anticipate the administrative needs of daily and weekly projects and events.

  • Availability to work evenings, weekends, and on short notice.

Preferred Qualifications:

  • A passion for cinema and cinema history.
  • Experience working in film exhibition or live theatrical presentation.
  • Experience working at arts non-profits, museums, theaters, or cultural attractions.

Physical Demands (if applicable):

  • Ability to drive and park throughout Los Angeles as needed
  • Ability to remail in a stationary position for extended periods, with accommodation if necessary.

Work Environment:

  • Shared office and conference room settings.
  • Crowded, noisy, and darkened theater environments.

Travel: The percentage of travel time expected for the position is 15%.

Hybrid Requirement: All Academy positions require a minimum of 2 days per week of in-person work at an Academy Location. Exceptions: Positions requiring daily in-person presence (ex., Front-line staff, staff who need to deal with materials on-site, etc.) and medical and religious accommodations approved by the Office of People & Culture.


Compensation: The expected salary for this role is $25.00 per hour. The actual base pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
