ABOUT THE ROLE:
Lexitas is seeking a detail-driven and client-focused Shipping Specialist to play a critical role in the final stage of our Transcript Fulfillment Process. This position ensures transcripts are accurate, complete, quality-checked, and delivered on time according to client and firm specifications.
As a Shipping Specialist, you’ll work closely with internal teams, carriers, and clients to coordinate delivery, manage quality control, and uphold Lexitas’ high standards for service excellence. This role is ideal for someone who thrives in a fast-paced, deadline-driven environment and takes pride in precision, accountability, and customer satisfaction.

KEY RESPONSIBILITIES:
- Perform final quality control review of transcripts prior to delivery to clients.
- Establish and execute delivery parameters based on firm profiles and assignment specifications.
- Coordinate transcript delivery via UPS, messenger services, electronic delivery, and other carriers.
- Maintain accurate and up-to-date client profiles, demographics, and assignment data in company systems.
- Interpret client instructions and assignment requirements to ensure precise fulfillment.
- Manage workload and backlog using internal databases and OnDemand tools.
- Provide complete and accurate records to Client Invoicing and Court Reporter Payment teams.
- Distribute digital and hard-copy documents to clients upon request using company platforms.
- Notate records clearly and efficiently in both physical and digital formats.
- Sort and process incoming and outgoing mail and email as needed.
- Assist with training, cross-training, and supporting less experienced team members.
- Safeguard confidential medical and legal records and ensure full HIPAA compliance.
- Perform additional duties as assigned to support operational and client needs.

QUALIFICATIONS:
- High school diploma or equivalent required.
- Minimum of 2 years of experience in legal support services preferred.
- Demonstrated ability to handle confidential information in compliance with local, state, and federal regulations.
- Strong computer proficiency and comfort navigating multiple systems simultaneously.
