Job Summary
Reporting directly to the Nursing Department Chairperson, the Specialist, Nursing serves as the main point of contact and facilitator supporting the students, faculty, and staff in the Nursing, Practical Nursing, and Nursing Certificate Programs. This role includes clerical, record-keeping, student support assistance, nursing program management support, and data entry supporting clinical coordination. The Specialist collaborates and supports faculty and staff in the approval and accreditation processes.ESSENTIAL JOB FUNCTIONS
Program & Student Support
- Supports the day-to-day activities of the Nursing Department. Supports registration process for RN and NURC students. Maintains hard-copy program records for all students in the RN & PN programs. Supports clerical aspect of petitioning process for the RN & PN programs (mailing, collecting, reviewing, data entry, auditing student records, creating status forms for student files). Creates pinning programs and graduate certificates for graduating RN classes and the PN program. Assists with on-campus visits from high school programs, special event programming such as pinning ceremonies, certificate completion celebrations, and participates in program information sessions as needed.
- Collaborates with and executes referrals to the Admissions Office and other college departments/personnel to facilitate enrollment. Builds/fosters relationships with internal and external stakeholders, i.e. Enrollment Management, Student Services, Academic Affairs, etc. Maintains regular contact via phone or email with future students interested in Nursing programs.
Clerical & Administrative
- Provides administrative support to the department Chairperson. Performs various clerical and administrative tasks. Verifies documentation received by fax, email, or in-person and inputs it into the systems via data entry and scanning, while paying close attention to details for accuracy. Maintains confidentiality of records.
- Answers questions and provides information to potential and current students. Furnishes and obtains information, resolves routine problems, assists with procedures and requirements, and performs other customer service responsibilities. Assists in maintaining departmental web pages, coordinates coverage of department sponsored events, and oversees office supplies and office supply budget. Develops and maintains RN and PN student files to meet accreditation and approval requirements; moves graduate files to Fireproof storage.

Additional Duties & Responsibilities
- Manages multiple assignments of varying complexity and meets tight timelines and deadlines with the ability to adapt to changing needs of the College and business partners.
- Attends departmental, division, and unit staff meetings on a consistent basis.
- Hours may include working outside of a normal workweek schedule as needed to meet program needs and workload demands.
Minimum Education and Experienced Required
- High school diploma.
- Two (2) years clerical/customer service experience.
Licenses and Certifications
- State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
